What’s changing
You can now interact with the Gemini side panel while viewing PDFs. This new viewing experience works with all kinds of PDFs, such as: 
  • Scanned PDFs: Pictures of paper documents turned into PDFs. 
  • Native PDFs: PDFs created on a computer, not from a scan.
  • Text-heavy PDFs: Long PDFs with lots of writing. 
  • Table-heavy PDFs: PDFs with complicated tables. 
With this update, you can use Gemini in Drive to help you with PDF files in the following ways: 
  • Summarize: Get a quick overview of long, complicated PDFs. 
  • Ask questions: Find specific information or insights from the PDF. 
  • Create new content: Use PDF contents to make something new, like a study guide or an email draft. 
  • Bring in more information: Combine the PDF with other files you have in Google Drive by typing @.

We’re expanding the availability of AI Classification in Google Drive to Google Workspace for Education customers with the Gemini Education Premium add-on

Even though data security is paramount in today’s digital world, organizations struggle to label their data at scale, rendering label-based data protections less useful. This problem is solved by AI classification, automatically applying labels to both new and existing files in Google Drive. 

Powered by privacy-preserving AI models that can be uniquely trained on specific customer needs, AI classification automatically identifies, classifies, and labels files in Google Drive.. This helps organizations standardize data classification and achieve labeling consistency at scale. Labels can then be used to trigger rules on files that can and cannot be shared through data loss prevention (DLP) controls, lifecycle management policies, as well as audit and reporting use cases

What’s changing

Why you’d use it

Google Workspace extensions enhance Gemini's capabilities by allowing it to access information from your Gmail, Docs, and Drive. This enables Gemini to locate, reference and incorporate this additional data, leading to even more informed and relevant responses. This deeper integration helps bring Gemini’s capabilities more seamlessly into your daily workflows, helping enhance productivity. For example, referencing a Doc that outlines your target audiences while performing customer research in Gemini (gemini.google.com).


Additional details
  • During the open beta period, Context-Aware Access (CAA) for Gmail, Drive and Docs isn’t supported with Google Workspace extensions. Context-Aware Access gives you control over which apps a user can access based on their context, such as whether their device complies with your IT policy. Learn more about Context-Aware Access.
  • Google Workspace extensions honors access control settings for files within Drive, meaning users can only access files that they own or have been shared with them (excluding files shared via Shared Drive).
  • Google Workspace extensions is not available to Google Workspace users accessing Gemini as an additional Google service.
  • Note that Google Workspace personal content that Gemini Apps get from extensions is not reviewed by anyone to improve AI models, not used to train AI models, and not shared with other users or institutions. Visit the Help Center for more information.

3 New updates

Unless otherwise indicated, the features below are available to all Google Workspace customers, and are fully launched or in the process of rolling out. Rollouts should take no more than 15 business days to complete if launching to both Rapid and Scheduled Release at the same time. If not, each stage of rollout should take no more than 15 business days to complete.


Your users can now express interest in Gemini for Google Workspace 
We’re introducing a simple way for Workspace end users to request a Gemini license from their admins on the Gemini for Google Workspace homepage. To send this request, Workspace end users simply select ‘Get Started’ from the Gemini for Google Workspace marketing page, then click on ‘Ask my admin’ and complete the request form. Super admins will receive this request by email, and from there they can choose to purchase a Gemini license in the Admin console.

Admins will have the option to disable these requests prior to this update. Admins can do so in the Admin console by going to Account > Account Settings > Gemini for Google Workspace, and deselecting the ‘User-requested upgrades’ setting— use this article in our Help Center for more information. | Rolling out now to Rapid Release domains and Scheduled Release domains. | Learn more about Gemini for Workspace, including our recent Gemini for Workspace announcements.

Multi-account support now available for Google Keep on large screen Android devices
Last year, we introduced multi-instance support for Google Keep on large screen Android devices. To take this a step further, we’re now allowing multiple accounts to be used at the same time on the same device in Keep. Having two windows open side-by-side enables better insight into your notes and gives you more ways to work with, display, and organize your content across multiple accounts. | Rolling out now to Rapid Release domains and Scheduled Release domains. | Available to all Google Workspace customers, Workspace Individual Subscribers, and users with personal Google accounts.

We’re pleased to announce the general availability of Gemini in the side panel of Docs, Sheets, Slides, and Drive. Through the side panel, Gemini can assist you with summarizing, analyzing, and generating content by utilizing insights gathered from your emails, documents, and more—all without switching applications or tabs. The updated interface automatically summarizes the content you're working on and provides contextually relevant prompts to help you get started.

The side panel will use Google’s most capable models including the Gemini 1.5 Pro model with a longer context window and more advanced reasoning, allowing you to harness the power of Gemini directly from your most used Google Workspace apps. Here are a few examples of when you’d use it:
  • Docs: Gemini in Docs side panel can help you write and refine your content, summarize information, help you brainstorm, create content based off of other files, and more.

What’s changing
In addition to the recent announcement of Gemini in the side panel of Google Docs, Google Sheets, Google Slides, and Drive, we’re excited to introduce the general availability of Gemini in the Gmail side panel. Built to leverage Google’s most capable models, including the Gemini 1.5 Pro model with a longer context window and more advanced reasoning, you can now use Gemini in Gmail on web to: 
  • Summarize an email thread 
  • Suggest responses to an email thread 
  • Get help drafting an email 
  • Ask questions and find specific information from emails within your inbox or from your Google Drive files 
While Gemini in Gmail will provide proactive prompts to help you get started, you can also ask freeform questions. For example, you can ask Gemini to search your inbox for things like "What was the PO number for my agency?", "How much did the company spend on the last marketing event?", or "When is the next team meeting?". And just like that, you’ll have the information you need to quickly reply without having to ever leave Gmail.

Starting today, you can also use Gemini in the Gmail mobile app on Android and iOS to analyze email threads and see a summarized view with the key highlights, just as you can with the side panel on the web. This is useful when you’re on the go, especially because reading through long email threads can be time consuming and even a bit of a challenge on a smaller screen. Additional mobile features like Contextual Smart Reply and Gmail Q&A are coming soon.

Why you’d use it 
While Gemini in Gmail helps you view, understand and respond to email content, it also connects to other Workspace apps like Docs, Sheets, Slides and Drive. For example, let’s say you’re planning a company offsite and get an email from a team member asking for the hotel information so they can book a room. Now you can ask Gemini to look it up from a Google Doc that contains all the offsite details, using a simple “what is the hotel name and sales manager email listed in @Company Offsite 2024.” Then you can easily insert this into your reply to get your team member the help they need.

What’s changing 
In addition to the recent announcement of audit logs for API-based actions, we’re introducing the ability for admins to see new audit logs in Google Drive for activity triggered by Gemini for Google Workspace. 

For example, if Gemini for Google Workspace accesses data from a set of files in response to a user query, an ‘item content accessed’ event is generated for each of the accessed files in the Drive log events.

These new audit logs offer admins greater transparency into how Gemini for Google Workspace and Gemini apps leverage your content from Drive, providing granular visibility for security and compliance. 

Gemini leverages the content of your Drive to provide more personalized responses based on your prompts. These logs focus on instances where Gemini specifically accesses Drive files on behalf of users to fulfill their requests.

Beginning May 23, 2024, Google for Education customers will be able to leverage new and powerful ways of working, teaching and learning with Gemini for Google Workspace with two new paid add-ons:

  • Gemini Education is a lower price offering best suited to help education institutions get started with generative AI in Workspace, with a monthly usage limit. 

    Gemini Education will be available as an add-on for Google Workspace for Education: Education Fundamentals, Education Standard, the Teaching and Learning Upgrade, and Education Plus. 

  • Gemini Education Premium: includes everything in Gemini Education, plus more advanced features like AI-powered note taking and summaries in Meet, AI-enhanced data loss prevention and more coming soon. This add-on provides full access and usage of generative AI tools in Workspace.

    Gemini Education Premium will be available as an add-on for Google Workspace for Education: Education Fundamentals, Education Standard, Teaching and Learning Upgrade, and Education Plus.

Note that Gemini for Google Workspace features are only available in English, Spanish and Portuguese* for education users over the age of 18.

To further our robust privacy commitments, in the future educators and students 18 years and older will have added data protection when accessing Gemini at gemini.google.com with their school accounts, free of charge. This added protection ensures that your data is not reviewed by anyone to improve our models, is not used to train artificial intelligence models, or shared with other users or institutions. These protections will be applicable to our free Gemini experience for Workspace for Education customers and will be available in 40+ languages.


If you use gemini.google.com with a Gemini Education or Gemini Education Premium license, it is covered by the Google Workspace for Education terms of service. If you use gemini.google.com with an education account without a Gemini Education or Gemini Education Premium license, it is covered under the Google Terms of Service, the Generative AI Additional Terms of Service, and the Gemini Apps Privacy Notice.

OpenStax and Data Commons extensions
Soon, you’ll be able to use Gemini in combination with OpenStax and Data Commons, along with guided practice quizzes to help people learn more confidently and with trusted sources. For example you can ask OpenStax to discuss the scientific significance of solar eclipses” to pull in accurate, trustworthy responses based on Rice University’s OpenStax educational resources. Or you can leverage Data Commons to visualize data about complex topics like climate change, jobs, economics, and more. You’ll also be able to work through guided practice quizzes and receive conversational feedback on each of your responses. We’ll provide more information on The Keyword and the Workspace Updates blog when this functionality becomes available.

Looker Studio enables users to quickly build interactive reports and dashboards, and starting today they can now be created directly from Google Sheets. More specifically, users can:

  • Transform the data in Sheets to an automatically generated Looker Studio report in a single click, and save and share the report with an individual or a team.

Unless otherwise indicated, the features below are available to all Google Workspace customers, and are fully launched or in the process of rolling out. Rollouts should take no more than 15 business days to complete if launching to both Rapid and Scheduled Release at the same time. If not, each stage of rollout should take no more than 15 business days to complete.


Address access permissions for Google Drive embeds in Google Sites 
When adding embedded content from Google Drive into a Google Site, such as a PDF, document or presentation, site editors will now be prompted to address potential access permissions. The notification will also appear when site editors are publishing the site or sharing it with other site collaborators and viewers. Track usage for Gemini for Workspace users in the Admin console
We recently announced the Gemini Business add-on which provides a subset of generative AI features, subject to monthly usage limits. Gemini Business customers can now check a user’s Gemini limit status in the admin console. Changes to displaying the “deprovisioned” status for Google Meet hardware devices
