PowerPoint 2007 - Understanding the Screen

1. Office Button: The Office 2007 Button is located in the top left hand corner of the screen. The
Office Button allows you to open, save, and print documents, and perform other document output
functions such as fax and email.

2. The Ribbon: The traditional drop-down menus and toolbars of earlier Microsoft releases have been
replaced by the more intuitive and graphical Ribbon. Click on the arrow to open a dialogue box with
more options.

3. Command Tabs: Office 2007 applications automatically open to the Home command tab, which
contains formatting options needed to create a basic document, such as font and paragraph settings.
Specialized features can be accessed from other command tabs.

4. Slide & Outline Tabs: The Slides tab shows thumbnail images of your slides, allowing you to
rearrange and hide slides and view set transitions as you work. The Outline tab shows the content of
your slides, making it easy to rearrange your text.

5. Slide Panel: This panel is where you enter the content of your slides.

6. Notes Panel: This is where you can enter notes. If you wish to enter longer notes, you can go to
the View tab and select Notes Page.
7. View Buttons: These three buttons include the Normal view, shown here, the Slide Sorter, which
allows you to shuffle your slides, and the Slide Show, which shows the slides as if you were
presenting.

8. Zoom Slider: This allows you to zoom in and out on the Slide Panel.

There are two ways to add new slides to your presentation. New slides are automatically inserted after
the currently selected slide, and by default will take on the layout and theme of the preceding slide.

Quick Menu Options

To insert a new slide using the Quick Menu, in the Slides panel right click the slide after which you
want a new slide inserted and select New Slide.

To change the layout of the slide, right click the new slide in the Slides panel, select Layout and
select the desired theme.
Ribbon Option

From the Home tab in the Slides group, click on New Slide. A blank slide will be inserted after your
active slide.

If you wish to choose the layout while creating your new slide, click the on the New Slide button and
choose a theme.

To add text to your slide, you can either use the placeholders provided when you choose a layout or
create a text box on a blank slide.

Adding Text to a Placeholder

If you have selected a layout for your slide, you will see boxes that contain dummy text which read
something like "Click to Add Title" or "Click to Add Text". When you click in the box, the dummy text
will disappear, the cursor will become a blinking line ( | ), and you can begin to type your text.

NOTE: If the text box contains media buttons, do not click them.
Inserting & Resizing a Text Box

To create a text box in a blank slide, go to the Insert tab on the Ribbon and click on the
Text Box button. Your mouse pointer will change to an insertion point. Left click and drag
your cursor across the screen to choose the size and location of your text box.

If you wish to resize your text box after it is created, hover your mouse
over the circles or squares around the border of the box. The circles will
resize both the width and the height of the box, the squares on the top
and bottom will resize the box vertically, and the squares on the sides will
resize it horizontally.

When your cursor changes shape, left click and drag your mouse. The circles in the corners will adjust
both height and width while the squares to the sides will adjust one or the other.

To rotate the text box, left click on the green circle above the box and drag your mouse.

To simply move the box, click on the border and drag your mouse. Tip: If you want to move the
box in a straight line, hold down the Shift key before clicking and dragging the mouse.

Deleting a Text Box

To delete a text box, click on the border of the box. Once the border is highlighted, press the
[Delete] key on your keyboard.

Note: If you can't see the border of the box, first click on the text. This will make the border visible.

The formatting options available in PowerPoint are very similar to other Office 2007 programs.

Basic Text Formatting

To format your text, first select it. Once the text you wish to format is highlighted, use the options in
the Font and Paragraph groups under the Home tab to format your text.

Most of the formatting options are the same in all Office 07 programs, however there are a few that
are unique to PowerPoint.
Text Adds a shadow behind the selected
Shadow text to help it stand out on the slide.

Character Adjusts the spacing between


Spacing characters.

Change the orientation of text to


Text
vertical, stacked, or rotate it to the
Direction
desired direction.

Change how text is aligned within the


Align Text
text box.

Convert text to a SmartArt graphic to


visually communicate information.
Convert to SmartArt graphics range from
SmartArt graphical lists and process diagrams
Graphic to more complex graphics, such as
Venn diagrams and organization
charts.

You can click the down arrow on either the paragraph or the font group to access the menu.

Formatting a Text Box Using the Ribbon

When you select a text box or the text within the box, the Drawing Tools: Format
tab will appear on the Ribbon.

From this tab you can preview and choose from a variety of preformatted styles, or create your own,
using the options under Shape Styles.
You can also use the WordArt Styles to change the look of your text or add a completely new object
to your project using Insert Shapes.

You can change the Size of the text box from this tab. Also, if your project has a number of objects
layered on top of each other, you can Arrange your objects and move them to the front or the back.

Some of the options available in the Format tab overlap with the Format Shape dialog box, while
others are unique to the tab. To access the Format Shape dialog from the Format tab, click on the
down arrow at the bottom of the Shape Styles section of the tab.
Formatting a Text Box Using the Quick Menu

To format a text box using the Quick Menu, right click on the edge of the box and select Format
Shape.

From this dialog box you can change the background color of your text box, the size, style, and color
of the border, and make the box stand out by applying 3D effects such as a shadow and rotation.
