Building a Childminding Portfolio

What is the difference between a prospectus, portfolio and a welcome


pack?

A prospectus is information to advertise your business/practice and can be sent to


enquiring parents/carers prior to their visit with you.

A welcome pack is intended for the parents/carers to take away with them to keep as a
reference which could include copies of policies, details of opening hours, costs etc.
once they have agreed to use your service.

A portfolio contains information about you and is designed for you to look at with the
parents/carers and used as a guide to explain your requirements, expectations and
your service.

Why is it a good idea to have a childminding portfolio?

Having a portfolio is a good way of sharing information with parents/carers and building
a positive relationship from day one. It can be used as a prompt when carrying out your
first interview with prospective parents/carers. A portfolio is also a good way of
displaying information in a more organised and structured way for an Ofsted inspection.

What does it look like?

The portfolio is a collection of documents that support your work as a childminder. It is


also an opportunity to demonstrate your professionalism and experience, so it should
reflect your services positively.

There is not a specific format when creating a Childminding Portfolio; however you
decide to organise the portfolio it should be accessible, easy to use, current and
relevant.

You can collate all your documentation in a ring binder, placing them in plastic wallets
to keep the pages neat or alternatively, folders can be used that allow you to add
documentation to. You can subdivide the portfolio into subsections or have a contents
page. You should keep your portfolio up to date by removing and adding relevant
documentation.

What could be included?

Information:

• Introduction to yourself, your family, any assistants and pets

• Include your experience to date plus your ethos of your setting, you could expand on
your Ofsted inspection report ‘Description of the childminding’ section for this

• Copy of your Ofsted registration certificate – discuss how childminders’ ratios work
and the children you currently mind mentioning how flexible your service could be
with your ability to vary your own numbers in the future

• Latest Ofsted report

• Department of Education Parent’s Guide to the EYFS - emphasise the section about
parents/carers involvement in children’s learning

• Disclosure and Barring Service (DBS) checks (previously CRB checks)

• Public liability insurance certificate or copy and any health and safety certificates i.e.
gas/electric, data controller, environmental health report

• Car insurance and MOT certificate

• References from those that have used your services or references used on
application to become a childminder

• Sample menus if providing meals and snacks

• Daily routines and experiences you provide maybe consider some photographs (with
parent/carers consent). Discuss on-going daily communication methods e.g. daily
diary

• Details of fees - this information should state what is included in the price and what
parents/carers will be expected to supply

• Details if registered to deliver Funded Early Learning for 2 year olds and/or Free
Entitlement for 3 and 4 year olds

• Information about your responsibilities towards Child Protection both locally and
nationally.

• Relevant and up-to-date training certificates or copy to include: first


aid/qualifications/ courses/training of any assistants

Policies and Procedures

• Relevant policies and procedures- reviewed regularly

Documents

Blank copies of all documentation you give to parents/carers to sign or use including:

• Contract

• Child record form

• Permissions and consents


• Emergency back-up details

• Emergency evacuation plan

• All about me form/starting points

• Observation sheets – discuss how these sheets are used to document children’s
learning

• Parent/carers comment sheets

• 2 year progress check if applicable
