Dear Mr. Fernandez,

I truly apologize that you have experienced such horrible customer experience. Your suggestive review
regarding our restaurant will help us in running this business properly. We take fulfillment of orders very
seriously and are investigating this problem that has occurred to many customers, including yours.

As we take your complaint seriously, we would like to let you know that starting from tomorrow, October
11, 2018 until November 3, 2018, we are reorganizing our restaurant’s organization. This includes strictly
retraining our workers through video-based training programs and/or firing some of the workers who we
will decide to be unfit for working here. We will also be hiring new workers to replace the ones to be
fired in order to improve our service. As a token of our appreciation for offering these suggestions to our
restaurant, we would like to give you a McDonald’s gift card which is worth $100, which you can use if
you plan to buy food products from McDonald’s in any restaurant in the future.

Again, we hope you accept our formal apology, which is what you have requested in your complaint
letter, and our corrections regarding such issues.

Thanks,

SAMPLE OF ONE MEMO LETTER
CANADA POST CUSTOMER SERVICES DEPARTMENT
3110 Bathurst St, Toronto, ON M6A 1A0
TO: Canada Post Customer Services Department Employees

From: Florenz Peter Fernandez, Supervisor

Date: September 19, 2018

RE: Wasting of office supplies

It has come to my notice that employees are using too many office supplies unnecessarily. If this practice
continues among the work place, it will result to higher material costs and shortages for the company
which can have a negative effect to our service with Canada Post costumers. The problem is a result of
the following:

a.) You have used too many papers unnecessarily to write on for testing pen or marker workability, or to
print it on from the printer which ends up having a mistake according to your discretion.

b.) You throw unused papers away which are mistakenly identified as trash.

c.) You failed to throw some recyclable office supplies into the recycling bin and threw some into the
garbage can.

d.) You threw away ballpoint pens and markers with early perception that they have a dry ink.

Based on these observations, you must follow these two procedures strictly which can solve this
problem.

You must not throw away papers if they are already printed or written, for they will be useful for
customers as well. Put them in the recycling bin instead of the trash can, for they will be useful as scratch
papers, be sent to recycling factories or be sent to Staples to create recyclable paper-based materials.
You must not also throw away pens and markers right away if you are not sure whether their inks are
dried or not. Make sure if they are workable, and put them in the recycling bin if it is unworkable, for
they may be useful in the future as they will be sent to recycling factories or be sent to major companies
like Staples.

Anyone who continues to do such practices that is in contrary to these solutions will receive a fine of
$100 to compensate with the item costs, and these actions will be applied strictly. It would be very
appreciable if you are willing to cooperate. Please contact me with this number (647)-994-0627 if you
have any questions and thank you for your business.
