Welcome
SCA’s internationally recognized certificate programs are designed to help learners demonstrate the
real-world knowledge and practical skills relevant for a successful career in specialty coffee. Learners
chose our programs because they are based on research and industry collaboration, designed
especially for the coffee practitioner and are delivered by a global network of authorized trainers.

We value this partnership with our SCA trainers, and are proud that our trainers:

This Handbook was created specifically for the trainer. It contains information about certificate program
policies, procedures and guidelines and is intended to be helpful guide that centralizes and clarifies
aspects of the program, so that ASTs can focus on creating outstanding learning experiences in
specialty coffee.

reader to relevant sections within the document, open external web page or even open additional

1.0 SCA Certificate Programs
SCA offers certificates in the following education programs: the Coffee Skills Program, the Sustainability
Skills Program and the Coffee Technicians Program. These programs are built on decades of
knowledge, research, and real-world experience designed to help learners create a successful career in
the coffee industry. SCA staff work collaboratively with subject matter experts to develop and maintain
the course materials and exams of these programs.

1.1 The Coffee Skills Program (CSP)


The Coffee Skills Program consists of five full modules and one stand-alone, introductory course. The
modules are Barista Skills, Brewing, Green Coffee, Roasting and Sensory Skills. Each module consists
of three progressive courses titled Foundation, Intermediate and Professional. Learners choose which
modules and courses are most appropriate for their educational needs.

Introduction To Coffee is a popular course that is authorized for delivery by every AST. In this course,
learners are introduced to specialty coffee and the broad topics that could be explored through the other
the modules. This is typically a 4-6 hour course and does not include a practical exam.

Foundation courses are typically equivalent to a one-day course. Intermediate courses are typically
equivalent to a 2-3 day course. Professional courses are typically equivalent to 3-4 day courses. These
courses can also be held over several meeting periods depending on the design of the AST’s lesson
plan and agreement with learners.

Descriptions of each module and course, along with topic listings and course details, are made available
in the SCA CSP Course Catalog. This catalog is made available to the public.

1.1.1 SCA Coffee Diploma


The SCA Coffee Diploma is exclusive to the Coffee Skills Program and is awarded to those
learners who have earned 100 or more points with CSP courses. Each of the CSP courses has a
point value toward the SCA Coffee Diploma. The program is structured in a way that encourages
leaners to pursue a well-rounded coffee education on a variety of topics within the industry. Once
a learner has achieved eligibility, they may apply for the SCA Coffee Skills Diploma in the
Education menu at sca.coffee. The application form can be found under Education at sca.coffee.
The points awarded at each level are listed below:

Introduction to Coffee = 10 points


Foundation course = 5 points
Intermediate course = 10 points
Professional course = 25 points

1.1.2 Equivalency Certificates (SCAA and SCAE)


Learners who hold course certificates from previous certificate programs offered by the Specialty
Coffee Association of Europe (SCAE) and Specialty Coffee Association of America (SCAA) may
be eligible for certain equivalent certificates in the SCA Coffee Skills Program.

For SCAA Pathway certificate holders, please consult the SCAA Pathway to SCA CSP
Equivalency Chart.

For SCAE Coffee Diploma System certificate holders, all certificates are equivalent to SCA CSP
certificates.

Points earned by equivalent course certificates can be applied toward a CSP Coffee Skills
Diploma.

Certificates from previous programs may not apply toward eligibility for new AST Licenses or the
addition of Module License. Applicants should be advised to contact education@sca.coffee for
current eligibility requirements and acceptable equivalencies.

1.2 Coffee Sustainability Program


Sustainability must be embraced by all actors in the value chain if the specialty coffee industry is to
survive. The Coffee Sustainability Program is designed to explore what sustainability means and the
challenges of acting sustainably across the coffee value chain. Through Sustainability Foundation,
Sustainability Intermediate, and Sustainability Professional, learners can expect to build skills that
include:
• the ability to articulate broad sustainability challenges across the value chain
• lead others in discussion and practice of these issues
• identify, develop, and carry out and assess a sustainability effort that fits within their own
organization.

Learners can expect Foundation courses to be a one-day session, Intermediate courses to be two-to-
three-day courses and Professional courses to be held over several months due to independent
research work.

1.3 Coffee Technicians Program


A first of its kind, internationally recognized and standardized education program for people seeking to
better understand the operation, maintenance and repair of coffee equipment. There are six modules in
the program with Foundation, Intermediate and Professional courses in each module. Learners choose
which courses are most appropriate for their educational needs. These modules are Coffee Machines,
Hydraulics, Electrical, Water and Preventive Maintenance, Operations Management, and Coffee
Preparation.

Learners can expect Foundation courses to be two-day sessions. These will be dense introductory
courses, designed for anyone new to coffee technology. Intermediate and Professional courses will be
2-4 days each.

2.0 AST License Agreement

2.1 AST License Agreement Highlights


The AST License Agreement governs the relationship between the Specialty Coffee Association (SCA)
and Authorized SCA Trainer (AST). When an AST operates in a manner that is not in compliance with
the terms of the AST License Agreement, SCA may take one or more actions. These may include the
suspension or cancellation of a license. (See Section 3.0 AST Accountability and Compliance)

The license is only valid for the AST named in the agreement and an AST is not allowed to sub-license
their authority to any other person or party under any circumstance.

The exact language of the AST License Agreement is updated as necessary for the sake of clarity and
alignment with improvement in the program.

The key components of the agreement require the AST to:

• Ensure that training spaces are appropriate for the number of students in the course and meet
the current requirements of the prescribed activities and exams as outlined in the Course
Guidebooks and Core Equipment Lists. Such requirements are subject to change from time to
time. (See Section 9.0 Course Venue, Equipment and Supplies)
• Meet the delivery standards of the program. (See Section 7.0 Course Delivery Standards)
• Complete the required number of Continuing Professional Development credits during the three-
year period of their license. (See Section 4.0 AST Continuing Professional Development)
• Acquire and use the most recent course materials. (See Section 6.0 Course Guidebooks and Materials)
• Abide by SCA intellectual property requirements. (See Section 6.1: Authorized Use of Materials and
Section 6.6: Program Logos)
• Complete all administrative procedures in a thorough and timely manner. (See Section 10.0 Course
Administration Workflow)
• Pay all invoices in a timely manner. (See Section 2.3 Tuition and Administrative Fees and Section 10.0 Course
Administration Workflow)
• Accommodate lesson observations by SCA staff. (See Section 3.0 AST Accountability and Compliance)
• Sign and abide by the SCA Code of Conduct and AST Code of Conduct.

2.2 Adding Module Licenses


ASTs may add Module Licenses to their current, valid AST License. To be eligible for an additional
Module License, the AST must successfully complete the Intermediate and Professional coursework and
exams for the applicable module. Once eligibility is established, the process for adding a Module
License is as follows:

1. The AST requests the addition of a Module License form by writing to edcuation@sca.coffee,
including the following information:
a. Name, date and trainer for Professional course in the specified module
b. Certificate number from the Professional course
2. Upon approval, an invoice will be generated for the Module License fee.
a. The fee for a Module License is 200€/$240
3. Upon receipt of payment, the Module License will be activated, and the AST will have access to
the course materials and be able to announce courses.

2.3 Tuition and Administrative Fees
Tuition Guidance
The SCA does not set the course tuition that is charged by an AST to the learner. The course tuition is
set at the discretion of the AST. It is important that the pricing reflects the quality, complexity, and costs
of the course, including the relevant SCA Administrative Fees.

For example, it would be reasonable to expect that the price for a Professional course would be higher
than the price of a Foundation course, as it is likely to last several days, demand greater knowledge
from the trainer, and potentially require a greater investment of time, equipment, and supplies.

Administrative Fee and Payment Terms


Regardless of the tuition charged by the AST, an administrative fee is owed to SCA upon a student’s
successful completion of a course. Successful completion means that the student has passed both the
practical and written exam and is marked as such in the Course Dashboard. (See 11.3 Using the Course
Dashboard)

The simplified chart below shows the total amount that will be charged by SCA to the AST per
successful learner. For some ASTs, this total amount will appear in two separate lines on the invoice – a
certificate fee and an exam fee. For some ASTs, this will appear as one fee on the invoice, labeled as
an administrative fee, ASTs set their own course tuitions and service fees, in addition to the SCA
Administrative Fees. SCA Administrative Fees are due and payable within 30 days of the invoice date. If
there is a continual habit of non-payment, this may result in an interruption of program access or a
termination of an AST License Agreement.

*SCA members receive a discount on administrative fees for Intermediate and Professional courses. To
qualify for the membership discount, the learner must have a paid membership prior to the beginning of
the course.

2.4 AST License Term and Renewal


The term of the AST License Agreement is three years. This AST License Agreement is renewable on
the condition that the AST has:

• Paid invoices for all related fees within 30 days of the receipt of the invoice;
• Recorded at least 45 credits of Continuing Professional Development during the three-year
period of their license.
• Complied with the AST Code of Conduct.
• Agreed to any amendments contained in the AST License Agreement.

ASTs will receive three renewal notices; one month, one week and one day prior to the AST License
Agreement renewal date. If not renewed on the last day of the term, access to the AST portal will be
removed.

If the AST does not renew this license within six months following the last day of the term, the AST may
be asked to complete further requirements or professional development in order to renew.

2.5 US Regulations
SCA cares deeply about the coffee community in every country. As an international membership
association, it also has an obligation to the global membership to ensure that the organization remains in
compliance with all applicable rules and regulations.

Because SCA is incorporated in the United States, it must comply with provisions of the U.S. Code of
Federal Regulations and directives of the U.S. Department of the Treasury, which prohibits SCA from
providing services, including education courses, to people or businesses normally resident within
specific countries and regions that are currently under sanctions from the United States. These presently
include:

Cuba | Crimea | Iran | North Korea | Syria



ASTs cannot provide a training course to someone who lives in one of the countries or regions listed
above. It also means that an AST cannot deliver SCA certificate program courses in one of these places.

However, if the learner is a national from one of these places, but normally resides in a country or region
not under US sanctions, then they can take an SCA course and receive an SCA certificate in any place
not under US sanctions.

SCA leadership continues to seek legal advice on this matter to ensure that it is doing everything it can
to continue supporting the coffee communities in these sanctioned places.

3.0 AST Compliance and Accountability

3.1 Learner Guide to SCA Courses


The Learner Guide to SCA Courses sets forth the procedures and regulations that govern SCA
certificate courses and exams in order to ensure that the learner’s experience, in the classroom and
during their assessments, is fair, accessible, and valuable.

The document is available publicly at sca.coffee. ASTs need to be aware of and familiar with the Learner
Guide to SCA Courses and be prepared to respond to questions or requests related to these items.

3.2 Reporting Procedures for AST Compliance Issues


SCA is committed to ensuring that courses are taught professionally in a way that provides value to
learners. The organization benefits from ASTs and learners who report situations that negatively affect
the value and quality of the programs.

Here are some examples of situations that should be reported to SCA staff:

1. Courses not taught by an AST authorized in the specific module
2. Courses not taught according to delivery standards
3. Courses taught in a venue that is too small or not sufficiently equipped
4. An SCA, CSP or AST logo being misused
5. Course materials shared publicly or with unauthorized individuals
6. ASTs accommodating or assisting in cheating on practical and written exams
7. ASTs allowing students to skip practical exams
8. ASTs delivering information that is contradictory to the course materials
9. ASTs validating exams and certificates for courses they did not instruct

Reporting By ASTs
When an AST has directly witnessed another AST or organization acting in a way that is out of
compliance with the terms of the AST License Agreement or this AST Handbook, they may report the
issue using the AST Compliance Report Form.

Reporting by Student
If an AST is made aware of a situation or concern by a student, the AST needs to direct the student to
the SCA Course Complaint Information Form, as SCA staff will want to communicate directly with that
student. The form can be found on the Learner Login page at sca.coffee.

SCA will only respond to complaints when submitted by the person(s) directly involved in the situation.

Communication of Resolutions
SCA takes complaints and reports of non-compliance seriously and will conduct any investigation that is
warranted. The investigation may result in a series of corrective actions for the AST, which may vary.
The first step is to clarify expectations and help everyone involved be in compliance. If this does
not solve the issue, then SCA staff may take more serious actions that could include the suspension or
termination of the AST License Agreement.

It is important to note that these actions will only be communicated between SCA staff and the AST or
business involved. This means that SCA staff might not share the corrective action with the person
submitting the report, unless the resolution involves an offering or restitution for that person directly.

4.0 AST Continuing Professional Development


The specialty coffee industry experiences rapid advances in research, technology, and consumer trends. All
educators must be active in continually expanding and strengthening their own understanding of the topics they
teach. The AST Continuing Professional Development (CPD) program helps ensure that the trainer network is
populated by enthusiastic and informed coffee professionals. An online platform helps ASTs create a professional
development plan and track progress toward their own coffee education goals.

4.1 Requirement
In order to renew an AST License Agreement, the trainer must have recorded 45 CPD credits during the 3-year
license period.

4.2 Categories & Levels
There are five general categories of CPD activities with three levels of credits in each. Below are a
limited number of examples of activities in each category and level.

4.3 Recording CPD Credits


The CPD platform can be accessed via the AST Portal under Continuing Professional Development.
There is also direct access at https://uk.cpd.sca.coffee/login.

The profile on the CPD platform is not connected to the AST profile in the SCA database, and the login
credentials are different. The username for the CPD platform will be the Learner ID.

The AST Continuing Professional Development Guidebook is a manual for navigating the CPD
platform.

5.0 SCA Profile & AST Portal


The SCA Profile is a unique, password-protected account in the education database that holds contact
information and account history. This is also where a learner has access to online exams, course
certificates and other information. When a profile is upgraded to that of an Authorized SCA Trainer, the

user will automatically be forwarded to the AST Portal upon login. Users who are not ASTs will be
directed to the Course Calendar.

5.1 Accessing the SCA Profile


The steps to access the SCA Profile may vary depending on the geographic location of the user.

If the user is located outside of North America, these are the steps:
• Visit https://sca.coffee/membership/login
• Select the region
• Enter the login credentials or recover password
• Click Profile and then Personal Details

If the user is located inside of North America, these are the steps:
• Visit https://sca.coffee/membership/login
• Select North America
• Enter the login credentials or recover password
• Locate and click Learners and Trainers, click here to view SCA Course Calendar.
• When prompted, enter the same login credentials a second time
• Click Profile and then Personal Details
• Select AST Portal from the Education dropdown menu

5.2 Profile Maintenance


SCA staff use a variety of methods for communicating program changes and improvements. The
majority of communication is delivered by email. ASTs need to make sure their SCA profile has the most
current contact information with an email account that does not filter or block SCA emails. The contact
information entered in the online profile is what will appear in any listing on any SCA web site.

To update contact information:


• Access the SCA Profile (See Section 5.1)
• Select Profile> Personal Details
• Make any necessary changes
• Click Update Profile

5.3 AST Portal


The AST Portal is where the AST can create and administer courses, gather program updates and
download materials. Documents available for download in the AST Portal include, but are not limited to:

• Course guidebooks
• Practical exams
• Venue requirement lists
• AST Handbook and related documents
• Training resource materials
• Program logos and templates

ASTs located outside of North American will automatically be directed to the AST Portal after logging in
to their SCA Profile. ASTs located in North America follow the second step of selecting LEARNERS
AND TRAINERS: Click here to view Course Calendar.

5.4 AST Locator


All current ASTs appear as a pin in a searchable map in the Education section of sca.coffee. The
information displayed by each pin will include contact information for the AST, the modules they are
licensed to offer, and any upcoming courses that are currently posted.

If the pin is appearing at the incorrect place on the AST Map, the AST can correct this by following these
steps:
• Log in to the SCA Profile (See Section 5.1)
• Navigate to Profile>Company Details
• Scroll to map feature
• Drag the pin to the correct location
• Click Update Company Location Information to save changes

Ensure that the company address is showing in full on the map.

6.0 Course Materials


SCA produces three key components in each certificate program:

Guidebooks
Each course has a corresponding guidebook. This document contains the bulk of information necessary
for the AST to design lesson plans that prepare the learner for the course exams. The guidebook
includes information on delivery standards, learning objectives, terminology, references, activity guides
and more. The guidebook also includes the entire pool of written exam questions for that course.

Exams
Each course includes at least one exam. For the majority of certificate program courses there is both a
written and a practical exam. For some courses, there is just a written exam.

Certificates
Successful learners who pass the relevant exams are given a downloadable, digital certificate upon the
processing of payment for the applicable SCA Administrative Fees. The accomplishment is also
recorded in their SCA Profile.

To compliment the components of the program, SCA also produces supporting documents. These
include equipment and supply lists; resource materials and teaching tools.

ASTs use these documents and resources to build their own lesson plans and training materials. SCA
does not provide presentation outlines, visual aids, textbooks or other similar training materials.

6.1 Authorized Use of Materials


As outlined in the AST License Agreement (See Section 2.1) course materials are only available to those
who are authorized to access and use them. Authorization is module specific. Only SCA staff can grant

authorization for access to these materials. ASTs are not to share these materials with any individual or
organization that does not hold the appropriate Module License. This includes fellow ASTs who are
licensed in different modules or have an expired license in that module.

Although course materials may not be shared with unauthorized individuals, the contents of the SCA
CSP Course Catalog may be used in marketing and promotional materials to communicate the scope
and content of the courses.

6.2 Download Instructions


The necessary course materials for authorized modules are available for download via the AST Portal.

To locate and download the materials, follow these steps:


• Enter the AST Portal via the SCA Profile (See Section 5.1 Accessing the SCA Profile)
• Select Download Course Materials
• Click the Module Logo for the course materials for download

All course materials for a module, in all available languages, are contained in one compressed folder
that will automatically download to the computer. The title of the folder contains the date of the most
recent update to the course materials. A detailed change log is kept on a .txt file located in the folder.

6.3 Translations
The official operating language of SCA is North American English and the organization subscribes to the
Chicago Manual of Style.

Many times, new or revised course materials will first be released in English. Then, these documents are
often released in additional languages through phases. The order and availability of translated material
is dependent on demand, budgetary and staff resources, as well as volunteer support. Volunteers from
SCA chapters are often involved in creating or validating translations.

The first phase of translation focuses on these six languages:


Chinese | French | German | Italian | Korean | Spanish

Online written exams and course materials are then available in the following languages as translation
processes are completed:
Arabic | Dutch | Greek | Polish | Portuguese | Russian | Turkish | Vietnamese

ASTs who have the skills and resources to assist with the translation or review of materials in these or
other languages are invited to discuss these opportunities by writing to completing this form.

6.4 Updates
Course materials are frequently updated. It is the responsibility of the AST to use the most current
course materials when designing and delivering courses. SCA uses a variety of ways to notify ASTs
when updates or changes are made to course materials, including:

• E-mail - Make sure the email address in the profile is always up to date and that the email
application is not blocking or filtering emails from accounts ending in @sca.coffee

• AST Portal - Frequent updates are posted in the News & Curricula Updates section of the AST
Portal.
• Changelogs and Folder Dates- The downloadable folder for each curricula module contains a
.txt file that serves as a changelog. The filename for course materials download folders also
contain a date. This date is changed with each update.

6.5 Course Material Feedback


SCA course materials undergo thorough review by SCA staff, subject matter experts and volunteer
ASTs. There are times when ASTs may have a question, suggestion or correction to submit about the
content of the curricula, the accuracy of an exam question or the quality of a translation. Feedback of
this nature from the trainer network is critical to maintaining a quality coffee education program.

All questions and feedback related to the content of curricula or exams is to be submitted using the
Course Materials Feedback Form, found in the AST Portal.

This centralizes the communication and helps SCA staff track progress on pending corrections and
updates. Messages sent through email are at risk of not being included in compilations. Social media
platforms are not monitored for this type of inquiry.

6.6 Program Logos


There are four logos available for use by ASTs, and each logo comes with usage guidelines. These
guidelines must be followed. The SCA Logo is only used by SCA and may not be used under any
circumstances by ASTs.

The four logos are:


• SCA Member Logo
• ASTs are to use the SCA Member Logo for promotional materials.
• The SCA Member Logo is available in the Member Assets section at sca.coffee. Use the
password: membersonly.
• AST Logo
• The AST Logo is sent to the trainer at the beginning of each license term. The logo features a
date range that matches the years of the license term.
• Program Logo
• The Program Logo and Usage Guidelines are available in the AST Portal. Only the logos for
authorized programs will appear in the AST Portal.
• Module Logos
• The Module Logos and Usage Guidelines are available in the AST Portal. Only the logos for
authorized modules will appear in the AST Portal.

7.0 Course Delivery Standards


In order to ensure the delivery of quality SCA education around the world, certain standards have been
created for all courses.

The CSP Quick Reference Table (See Appendix A) offers a simplified view of information related to
minimum instructional hours and assessments.

7.1 Learner Guide to SCA Courses
The Learner Guide to SCA Courses is a document aimed at preparing learners with proper
expectations of SCA certificate program courses. This guide sets forth the procedures and regulations
that govern course delivery and assessments so that the learner is better informed and can advocate for
an experience that is fair, accessible, and valuable.

ASTs need to be thoroughly familiar with the Learner Guide to SCA Courses and be prepared to
respond to questions or requests related to these items.

The document outlines key assessment policies such as:


• Minimum and maximum number of attempts for exams
• Length of exam window
• Assessment modifications
• Exemptions to the online exam format
• Appeals processes

7.2 Course Capacity


Class size should be limited to a capacity that allows for valuable learner and trainer interaction. It is the
AST’s responsibility to review the course materials to ensure they are in compliance with the minimum
ratios of equipment/supplies per learner.

7.3 Instructional Hours


Each course must meet for a minimum number of instructional hours as set forth in the course
guidebook. Minimum course hours are met through time spent in the following ways:
• The AST delivering live instruction in-person or through distance learning.
• The AST conducting informal and formal assessments. (Note: This does not include time spent
by the learner taking the online written exam.)
• The learner engaging in activities that introduce and/or reinforce the theoretical or practical
course objectives.

Courses may NOT be held for less than the minimum stated hours. Courses may exceed the minimum
hours.

7.4 Proper Use of Non-AST


It is acceptable for ASTs to use support from other individuals when delivering a course. Non-ASTs can
be helpful when preparing supplies or materials for a course, assisting with the logistics during a course,
or even coaching during station work. It is also acceptable, and recommended, in some cases to take
advantage of guest speakers on a particular topic.

Regardless of who is assisting with the course, learners need to recognize the AST as the identifiable
trainer for the course. As an example, if SCA were to ask a learner from a specific course for the name
of their trainer, the name given needs to match the name on the certificate.

For the integrity of the exams and compliance with the AST Code of Conduct, it is critical that the person
designing/overseeing the course, administering exams, assigning final point totals and reporting results
to the learner is an AST authorized in the module.

7.5 Distance Learning Expectations and Guidelines


SCA certificate programs attempt to achieve accessibility while maintaining the value and integrity of the
certificate. As a skills-based training program there is a necessity for in-person, hands-on activities, and
exams in the majority of courses.

The design, content and intended outcomes of each course will determine the delivery method. The
AST should consult each course guidebook for specific directions related to the use of distance learning.

The following courses may be taught entirely through distance learning:


• CSP Introduction To Coffee
• All CSP Foundation courses
o Practical objectives must still be addressed and CSP Course Skills Report completed.
• All CSusP Courses

The following courses may be taught through a combination of distance-learning and in-person
sessions, but not wholly through distance-learning:
• CSP Intermediate and Professional courses
• All CTechP courses

In any situation where distance learning is being employed, the courses must:
• Be delivered by an AST through live instruction via an online platform.
• Meet the minimum course hours length stated in the course guidebook.
• Be delivered in sessions/blocks. Each session time should be no longer than 3 hours.
• Have a class size that allows for valuable learner and AST interaction.

7.6 Required Exams


All certificate program courses require an assessment. Depending on the specific program and course,
this may include both a written and practical exam. Please consult the guidebook for the specific course
for a description of the required assessments.

SCA expects all learners to be full participants in a course, which includes taking the exams. Allowing
the learner to participate in the course without taking the exams can appear as a cost-saving measure in
the short-term. However, it can result in frustration and disappointment for the learner, the AST and SCA
staff in the future.

This is particularly true if a learner later decides that they want the certificate or would like to take the
Professional course for a certificate. SCA will not accept their course attendance as a prerequisite or
arrange for a separate assessment.

7.7 Practical Exams


Not all courses include a practical exam. Please consult the appropriate guidebooks for specific details
regarding practical exams.

Practical exams must be given by a current AST who is authorized in the module. The authorized
trainer is not to give feedback to the learner during the practical exam. Feedback regarding learner
performance should only be given once the exam has concluded and the scoring complete.

7.8 CSP Course Skills Report


In CSP Foundation courses, ASTs complete a CSP Course Skills Report for each learner. This report is
a tool that helps the AST communicate the level of competency they have observed for each learner in
relation to specific practical objectives. It also communicates the learner’s preparedness for the
Intermediate course. A blank copy of the CSP Skills Report is included with the course materials for
each Foundation course.

There are no practical exams in the Foundation courses of the Coffee Skills Program. The CSP Course
Skills Report is only used for Foundation courses and is not a pass/fail assessment. Only a passing
score on the written exam is necessary to obtain a Foundation course certificate. The AST will present
the learner with a copy of the completed report and discuss the contents of the report.

Intermediate and Professional courses include a practical exam, and do not include a CSP Course Skills
Report.

7.9 Requests for Special Consideration or Reasonable Adjustment for


Online Written Exams
If a written exam for a course is published to the online testing platform, learners are required to take the
written exam on that platform. An AST may encounter situations that require a modification to this
requirement. Requests for certain considerations and alternative delivery methods of written exams may
be submitted using two different online forms.

One request is submitted by the learner. The other request is submitted by the AST.

1. AE1 Request for Special Consideration: https://specialtycoffee.wufoo.com/forms/request-for-


special-consideration-application/ This request is submitted by the learner, and is used for appeals
and to request extensions of the 21 days testing window.

2. AE2 Request for Reasonable Adjustment: https://specialtycoffee.wufoo.com/forms/request-for-


reasonable-adjustment-application/ This request is submitted by the AST when they believe here is a
justifiable need for reasonable adjustment. Examples of what can justify a reasonable adjustment can be
found in the Learner Guide to SCA Courses. In most cases, approval of this request will result in some
or all learners in a course taking a paper-based written exam.

ASTs can submit a request on behalf of all learners in a course or for only certain learners in a course.

Important: If the request is approved it will require the AST to follow a different set of procedures once
the written exam is complete.

If a request is approved for ALL learners in a course to take the paper-based exams:
• The course will be noted as using a paper-based exam in the system.
• The appropriate paper-based exam will be sent to the AST.

• When the written exams and practical exams are complete, the AST will mark the course results
in the Course Dashboard.

If a request is approved for SELECT learners in a course to take the paper-based exams:
• The course will be noted as an online exam course in the system.
• The appropriate paper-based exam will be sent to the AST.
• For learner(s) in the course without the adjustment, the AST will follow the normal process of
sending the written exam invite.
• For the learner(s) with the adjustment the completion of the course, the AST will submit the exam
results by completing the Paper-based Exam Results Submission Form.

Staff-Initiated Adjustments
When reviewing and approving course announcements, SCA staff scan submissions for courses that
are being held in certain languages without a matching online exam. When identified, these courses will
automatically be noted as a paper-based exam course and an email will be sent to the AST with further
instructions on how to administer the exams and report results. This may require the AST to translate
materials from English to the relevant language.

8.0 Learner Placement

8.1 Minimum Learner Age


SCA does not allow participation of minors in certificate program courses. It is the responsibility of each
AST to operate in accordance with local regulations for health and safety.

8.2 CSP Intermediate & Professional Prerequisites


In the CSP, Foundation courses and Introduction to Coffee are recommended, but not required,
prerequisites for Intermediate courses in the same module. However, Intermediate courses are a
required prerequisite for the Professional course in the same module.

The courses within each CSP module are designed to build on the knowledge and skills learned from
one course to the next. ASTs assume that learners are competent in the knowledge and skills of a
previous level and will not teach to remediate a learner.

Each AST will need to determine their own standard for admittance into the Intermediate courses based
on a learner’s Foundation certificate and CSP Course Skills Report, documented career experience, or
performance on a custom assessment designed by the trainer based on the learning objectives in the
Foundation course.

8.3 Testing Out of a Course


In very rare cases, it may be justifiable for a student to test out of a course, meaning the student takes
the applicable exams without attending the course. Upon passing the exam, the student passes the
course. Only the most extenuating circumstances result in the allowance of a test out.

A request for a learner to test out must be submitted in writing by the AST to the SCA Education Officer
via education@sca.coffee at least 2 weeks prior to the student taking the exams. Requests will not be
accepted by learners.

SCA will not waive Intermediate courses as prerequisites to Professional courses.

9.0 Course Venue, Equipment and Supplies


As per the AST License Agreement, it is the AST’s responsibility to ensure that the training venue for a
course is conducive to learning. SCA certificate program courses can be taught at any location as long
as all standards are met.

9.1 Basic Expectations for Classrooms


The following are basic expectations for any room where courses are being delivered:
• The space much be adequate for the number of students present.
• The room must be a dedicated space for course delivery, and not being simultaneously used for
production or retail operations.
• The room must have adequate lighting for the activities of the course.
• The room must comply with all public health and safety guidelines for the location.
• The room must be free of distractions to sight, sound, smell, touch and taste.

9.2 Equipment and Supplies


Each course has a minimum requirement for equipment and supplies. The quantities listed for each
piece of equipment, tool or supply is usually dependent on the number of learners in the course. For
example, in Barista Skills courses, there must be one two-group espresso machine with two working
steam wands for every four students.

It is the AST’s responsibility to ensure that all tools and equipment are safe and in working order.

Equipment and supply lists for CSP courses can be found on the AST Portal under the AST Venue
Requirements. Equipment and supply lists for CTechP courses are included in each course guidebook.

9.3 Public Health & Safety Compliance


ASTs are expected to operate in compliance with the public health and safety regulations set forth by
the relevant authorities. This includes modifying activities and exams in ways that comply with those
regulations and still maintain the integrity of the program. If a venue puts the AST, learners or others at
risk of harm, the AST should cancel the course or postpone the course until the outstanding issues can
be corrected. If the behavior of a learner puts the AST, other learners or themself in an unsafe situation,
it is the AST’s responsibility to take corrective action to remove the risk. Also, see Section 8.1 Minimum
Learner Age regarding the participation of minors.

9.4 Premier Training Campuses


SCA Premier Training Campuses are venues that are certified by the Specialty Coffee Association as
having met a high standard of requirements in terms of space, equipment, and supplies.

9.5 Considerations When Using A Third-Party Location


SCA does not provide a template or standard agreement to be used by ASTs when working with third-
party venues. ASTs are encouraged to engage their own legal advisers when negotiating a venue
agreement. Because the AST is ultimately responsible for the quality of the venue, it is important for
each AST to consider the following when teaching at a facility outside of their own personal control:

● Capture all details of the arrangement in a signed document between the parties, including, but
not limited to:
○ The names and contact information of both parties.
○ The dates and times of the courses, including inspection, preparation, and breakdown.
○ Insurance coverage and expectations.
○ Equipment and supply lists.
○ Rental fees, and/or collection and distribution of payments received from learners.
○ Cancellation policies.
○ Emergency response plans.
○ Maximum capacity of learners.
● Conduct a visual inspection, either live or via video, well in advance of the course.
● Prepare themselves with the proper amount of insurance coverage for the situation.

10.0 SCA Course Administration Workflow


Performing course administration procedures correctly saves time for both the AST and SCA staff. This
also ensures that the learner receives their course certificate in a timely manner.

10.1 Announcing A Course


All courses must be announced through the AST Portal at least two weeks prior to the start of the
course. Courses must be in compliance with the minimum number of course hours as stated in the
relevant course guidebook.

To announce a course, follow these steps:


● Navigate to the AST Portal (See Section 5.3)
● Click Create and Manage Courses
● At the top of the calendar, select Create A New Course
● Complete all fields on first page
● Click Create Course
● Complete all fields on second page
● Click Submit Course For Approval
● An email confirming receipt will be sent to the AST
● SCA will accept course or advise AST
● An email will be sent to the AST notifying them of acceptance or advisement
● Accepted courses that are marked Public become visible on the public-facing SCA Course
Calendar

10.2 Accepting, Rejecting and Adding Learners to a Course
Learners can request to be added to a course through the SCA Course Calendar. When a potential
learner takes this step, their name appears as a candidate in the Course Dashboard.

If a learner requests to be added to a course:


● The AST will receive an automated email notification
● The AST should contact the learner to confirm that the course content and arrangements are
agreeable.
● The AST may then choose to accept or deny the learner for the course.

Being marked as Denied does not prevent the learner from registering interest in another course and
does not have a negative impact on their profile.
ASTs can also add learners to the Course Dashboard manually by using the Learner ID.

To add a learner to a course manually, follow these steps:


● Open the specific course from the individual SCA Course Calendar at the AST Portal.
● Scroll to Add Learner.
● Enter the Learner ID for each student.
● Tip: It is best to have the learner copy and paste the Learner ID in a message to avoid confusion
between certain letters and numbers.

Once the AST marks the learner as accepted or adds the learner to the course directly, that learner is
automatically added to the Course Dashboard. (See Section 10.3 Using the Course Dashboard)

It is not possible to delete a learner from a Course Dashboard. The AST can only mark the learner as
Absent. Once the learner is marked as Absent, this cannot be changed. Being marked as Absent does
not prevent the learner from registering interest in another course and does not have a negative impact
on their profile.

10.2.1 Helping Learners Create a SCA Profile and Obtain a Learner ID


The SCA Profile is a unique, password-protected account in the education database that holds contact
information and account history. This is also where a learner has access to online exams, course
certificates and other information.

The Learner ID is a unique identifier that is generated automatically by the creation of the SCA Profile.
The Learner ID is required for adding any learner to a course and assists SCA staff in providing
customer service to a learner or AST.

The Learner ID is not the same as a SCA Member Number. A learner does not need to be a SCA
Member or have an SCA Member Number in order to take a course.

Users can view the Course Calendar without a Learner ID, but they cannot register interest in a course
without being logged in as a user.

Steps for Creating a New SCA Profile

The steps for creating a SCA Profile vary based on whether or not the user lives in North America.

If a learner is not located in North America, they will follow these steps:

● Visit the Learner Login page under Education at sca.coffee.


● Select the region.
● Select Create A User Account.
● Enter username and password.
● Validate the email address using the activation code automatically sent.
● Enter all requested information in the next form.
● Once complete, the user will be redirected to the SCA Course Calendar.

If the learner is located in North America, they will follow these steps:

● Visit the Learner Login page under Education at sca.coffee.


● Select North America
● Select Create A User Account
● Enter the First Name, Last Name, E-Mail Address and Postal Code
● Validate the email address using the activation code automatically sent.
● Fill in all requested information
● Once the account is created, scroll to the right-hand column and find Education.
● Click : LEARNERS AND TRAINERS: CLICK HERE TO VIEW CSP COURSE CALENDAR .
● Enter the login credentials again here, being sure to use the same email address and password.
● Once complete, the user will be redirected to the SCA Course Calendar.

10.3 Using the Course Dashboard


The Course Dashboard (Figure 11.3) is the interactive table where the AST can manage their learners
and courses. In addition to listing the name, Learner ID and membership status of each participant, the
AST uses the Course Dashboard to record results of the course. The AST takes three actions in the
Course Dashboard within a timely manner:
• Accept or deny a learner who has registered interest or add a learner to the course manually.
o ASTs should respond to inquiries from learners within 48 hours.
• Mark completion of CSP Course Skills Report or results of practical exam
o ASTs should present the CSP Course Skills Report within 5 days after the completion of
a foundation course
o ASTs should mark the results of the practical exam within 5 days of completing the exam
• Send or Re-Send written exam invitations
o ASTs should send the first written exam invitation no later than 2 days after completing
the course.

Skills Report | Practical Exam Column


The Skills Report/Practical Exam results are marked differently based on the course:
● Introduction To Coffee – Introduction To Coffee does not have a practical exam.
○ If the learner participates in the course, mark Complete
○ If the learner does not participate in the course, mark Absent
● Foundation Courses – Foundation courses do not have a practical exam, but do require the
completion of the CSP Course Skills Report
○ If a learner participates in the course and has received a completed CSP Course Skills
Report, mark Complete.
○ If the learner does not participate in the course, mark Absent
● Intermediate & Professional Courses – Intermediate & Professional courses require a practical
exam.
○ If a learner successfully passes the practical exam, mark Pass.
○ If a learner does not successfully pass their second attempt at the practical exam, mark
Fail.
○ If a learner does not participate in the course, mark Absent.

Written Exam | Send Invites Column


The AST controls when the learner is invited to take the online written exam:
• Each learner may be sent an invitation separately or the AST can click Send All Invites as a
bulk action for the course. This begins an automated process for the learner.
• Once clicked, the Send Invitation button will change to Re-Send Invitation. Clicking this button
allows the trainer to send a second notice in case there was a problem with the first email.
Clicking Re-Send Invite does not reset the exam or exam window.

The online testing platform will automatically mark Pass or Fail in the Written Exam column.

When Complete | Pass is marked in the Skills Report | Practical Exam column, and Pass appears in
the Written Exam this will trigger the generation of an invoice for the SCA Administrative Fee and
prepare the learner’s course certificate for release upon receipt of those fees.

10.5 Advising Learners About the Online Written Exam Process
Once the AST has sent the invitation to take the exam, the learner follows an automated process with
prompts from the SCA education system and third-party, online testing platform. The online testing
platform will automatically mark Pass or Fail in the Written Exam column of the Course Dashboard

It is important for ASTs to be familiar with the steps in the process so that they may answer questions
from their learners.

Here is an overview of the steps in the process that begins when the AST selects Send Invitation in the
Course Dashboard:

Step 1: Learner Receives the Invitation E-mail


• After the AST selects Send Invite in the Course Dashboard, the learner immediately receives an
email prompting the learner to log into their SCA Profile to find a link to access the exam. Tip: If
Send Invite has been selected for a learner and they do not receive and email, encourage them
to go directly to their SCA Profile. The email may have been caught in a spam filter. Refer to
Appendix B: Troubleshooting Guide For ASTs for more steps to take before asking for help.
• SCA recommends the learner take the online written exam on a laptop or desktop computer,
rather than a tablet or mobile device. The full functionality of the online exam is not enabled on all
tablets and mobile devices.

Step 2: Learner Locates Exam Access Link in SCA Profile


• The learner will find the course code, written exam title, expiration date and exam status in the
Written Exams Section of their SCA Profile under Profile>Personal Details.

For each online written exam available to a learner, one of the following status messages will
appear:

Status Meaning
The AST has clicked Send Invite in the Course
Dashboard. The exam is properly scheduled and ready
for the learner to begin.
The learner passed the written exam. The result will be
automatically posted to the Course Dashboard.
The learner did not take the exam within the 21-day
window. The learner may request an extension by
writing to exams@sca.coffee.

The learner did not pass the first attempt at the written
exam. The second attempt is ready.

The learner has started the exam and there is time


remaining on the exam. The timer does not pause when
a learner navigates away from exam web page.
The learner has failed the first and second attempt at
the exam.
The system is in the process of resolving an issue. If
this message persists, write to exams@sca.coffee.

Step 3: Learner launches the exam
• The learner has two attempts to pass the exam and must do so within 21 calendar days. The
expiration date and time of the exam period is automatically adjusted to the time zone of the
learner.
• When the learner is prepared to attempt the online written exam within the established window
od time, they click the Start Exam button.
• Another screen with pop up, and the learner will be told of the time allotted to take the exam and
asked again whether they are ready to take the exam. The leaner clicks the START EXAM only
once.

Step 4: Learner selects the exam language


• After clicking the second START EXAM button, a screen will appear asking the learner to select
the exam language.
• Note: When an exam is offered in another language the following items will be translated:
Learner Code of Conduct, Instructions, Questions and Exam Feedback.

Step 5: Learner agrees to the Learner Code of Conduct


• The learner cannot move on to the actual exam unless they agree to the Learner Code of
Conduct.

Step 7: Learner answers questions during the timed portion of the exam and submits finished
exam
• A Question Progress Box appears above the End Exam button in bottom center of the screen.
This table helps the learner manage their answers and track their progress through the test.
• If the learner selects End Exam before all questions have been answered, the student is
prompted to confirm the choice before submitting of an incomplete exam.

Step 8: The testing platform automatically grades the exam


• Upon clicking END EXAM, the exam will be immediately graded/marked and the learner will see
a screen stating their score and whether they have passed or not

Step 9: Learner and AST receive an email with results and coaching report
• The coaching report lists by Question ID which questions were incorrectly answered.
• ASTs should reference the appropriate guidebook and use the Question IDs to locate the actual
question and corresponding answer choices available.
• If the learner is not successful on their first attempt, they will receive instructions for accessing
their second attempt. If a learner is not successful on their second attempt, they will be informed
to attend more another course and given instructions for appeal.

Step 10: Testing platform automatically updates Course Dashboard


• If a learner is successful on any attempt, the system will automatically select Pass in the Course
Dashboard for Written Online Exams.
• If a learner is not successful on their second attempt, the system will automatically select Fail in
the Course Dashboard for Written Online Exams.

10.6 Receiving and Paying Invoices for Administrative Fees
An administrative fee is owed to SCA upon a student’s successful completion of a course.
Successful completion means that the student has passed both the practical and written exam and is
marked as such in the Course Dashboard within the AST Portal.
• Invoices are generated weekly based on learners for whom both Complete | Pass and Pass
are marked in the Course Dashboard and sent to ASTs. This means that the ASTs may
receive multiple invoices for a single course depending on the order of exams and when the
learners take and pass the written exam.
• When payment of the invoice has been recorded in the system, the learners associated with
the invoice will have a certificate available for download in the Personal Details in the Profile
dropdown menu in their SCA Profile. Processing of payments made by bank wire transfer
may take up to 7-10 business days. Processing of payments made via the Sagepay link on
the invoice may take up to 72 hours during a business week.

10.7 Helping Learners Locate and Download a Certificate


Course certificates are delivered to a learner digitally through the SCA Profile (See Section 10.2.1) once
payment for SCA Administrative Fees has been received and processed.

There are several reasons why a learner may ask for help to find a certificate. If the AST is confident that
payment for SCA Administrative Fees has been made and processed, the Troubleshooting Guide For
ASTs (See Appendix B: Trouble Shooting Guide For ASTs) may provide some other steps to take before
contacting SCA Staff.
