This Handbook was created specifically for the trainer. It contains information about certificate program
policies, procedures and guidelines and is intended to be helpful guide that centralizes and clarifies
aspects of the program, so that ASTs can focus on creating outstanding learning experiences in
specialty coffee.
A complete listing of SCA contact information is included in Appendix C: SCA Contact Information for
inquires and more information.

Introduction To Coffee is a popular course that is authorized for delivery by every AST. In this course,
learners are introduced to specialty coffee and the broad topics that could be explored through the other
the modules. This is typically a 4-6 hour course and does not include a practical exam.
Foundation courses are typically equivalent to a one-day course. Intermediate courses are typically
equivalent to a 2-3 day course. Professional courses are typically equivalent to 3-4 day courses. These
courses can also be held over several meeting periods depending on the design of the AST’s lesson
plan and agreement with learners.
Descriptions of each module and course, along with topic listings and course details, are made available
in the SCA CSP Course Catalog. This catalog is made available to the public.

For SCAE Coffee Diploma System certificate holders, all certificates are equivalent to SCA CSP
certificates.
Points earned by equivalent course certificates can be applied toward a CSP Coffee Skills
Diploma.
Certificates from previous programs may not apply toward eligibility for new AST Licenses or the
addition of Module License. Applicants should be advised to contact education@sca.coffee for
current eligibility requirements and acceptable equivalencies.
Learners can expect Foundation courses to be a one-day session, Intermediate courses to be two-to-
three-day courses and Professional courses to be held over several months due to independent
research work.
Learners can expect Foundation courses to be two-day sessions. These will be dense introductory
courses, designed for anyone new to coffee technology. Intermediate and Professional courses will be
2-4 days each.
The license is only valid for the AST named in the agreement and an AST is not allowed to sub-license
their authority to any other person or party under any circumstance.
The exact language of the AST License Agreement is updated as necessary for the sake of clarity and
alignment with improvement in the program.
• Ensure that training spaces are appropriate for the number of students in the course and meet
the current requirements of the prescribed activities and exams as outlined in the Course
Guidebooks and Core Equipment Lists. Such requirements are subject to change from time to
time. (See Section 9.0 Course Venue, Equipment and Supplies)
• Meet the delivery standards of the program. (See Section 7.0 Course Delivery Standards)
• Complete the required number of Continuing Professional Development credits during the three-
year period of their license. (See Section 4.0 AST Continuing Professional Development)
• Acquire and use the most recent course materials. (See Section 6.0 Course Guidebooks and Materials)
• Abide by SCA intellectual property requirements. (See Section 6.1: Authorized Use of Materials and
Section 6.6: Program Logos)
• Complete all administrative procedures in a thorough and timely manner. (See Section 10.0 Course

2.3 Tuition and Administrative Fees
Tuition Guidance
The SCA does not set the course tuition that is charged by an AST to the learner. The course tuition is
set at the discretion of the AST. It is important that the pricing reflects the quality, complexity, and costs
of the course, including the relevant SCA Administrative Fees.
For example, it would be reasonable to expect that the price for a Professional course would be higher
than the price of a Foundation course, as it is likely to last several days, demand greater knowledge
from the trainer, and potentially require a greater investment of time, equipment, and supplies.
The simplified chart below shows the total amount that will be charged by SCA to the AST per
successful learner. For some ASTs, this total amount will appear in two separate lines on the invoice – a
certificate fee and an exam fee. For some ASTs, this will appear as one fee on the invoice, labeled as
an administrative fee, ASTs set their own course tuitions and service fees, in addition to the SCA
Administrative Fees. SCA Administrative Fees are due and payable within 30 days of the invoice date. If
there is a continual habit of non-payment, this may result in an interruption of program access or a
termination of an AST License Agreement.
*SCA members receive a discount on administrative fees for Intermediate and Professional courses. To
qualify for the membership discount, the learner must have a paid membership prior to the beginning of
the course.
• Paid invoices for all related fees within 30 days of the receipt of the invoice;
• Recorded at least 45 credits of Continuing Professional Development during the three-year
period of their license.
• Complied with the AST Code of Conduct.
• Agreed to any amendments contained in the AST License Agreement.
If the AST does not renew this license within six months following the last day of the term, the AST may
be asked to complete further requirements or professional development in order to renew.
2.5 US Regulations
SCA cares deeply about the coffee community in every country. As an international membership
association, it also has an obligation to the global membership to ensure that the organization remains in
compliance with all applicable rules and regulations.
Because SCA is incorporated in the United States, it must comply with provisions of the U.S. Code of
Federal Regulations and directives of the U.S. Department of the Treasury, which prohibits SCA from
providing services, including education courses, to people or businesses normally resident within
specific countries and regions that are currently under sanctions from the United States. These presently
include:
However, if the learner is a national from one of these places, but normally resides in a country or region
not under US sanctions, then they can take an SCA course and receive an SCA certificate in any place
not under US sanctions.
SCA leadership continues to seek legal advice on this matter to ensure that it is doing everything it can
to continue supporting the coffee communities in these sanctioned places.

The document is available publicly at sca.coffee. ASTs need to be aware of and familiar with the Learner
Guide to SCA Courses and be prepared to respond to questions or requests related to these items.
Here are some examples of situations that should be reported to SCA staff:
Reporting By ASTs
When an AST has directly witnessed another AST or organization acting in a way that is out of
compliance with the terms of the AST License Agreement or this AST Handbook, they may report the
issue using the AST Compliance Report Form.
Reporting by Student
If an AST is made aware of a situation or concern by a student, the AST needs to direct the student to
the SCA Course Complaint Information Form, as SCA staff will want to communicate directly with that
student. The form can be found on the Learner Login page at sca.coffee.
SCA will only respond to complaints when submitted by the person(s) directly involved in the situation.
Communication of Resolutions
SCA takes complaints and reports of non-compliance seriously and will conduct any investigation that is
warranted. The investigation may result in a series of corrective actions for the AST, which may vary.
The first step is to clarify expectations and help everyone involved be in compliance. If this does
not solve the issue, then SCA staff may take more serious actions that could include the suspension or
termination of the AST License Agreement.
It is important to note that these actions will only be communicated between SCA staff and the AST or
business involved. This means that SCA staff might not share the corrective action with the person
submitting the report, unless the resolution involves an offering or restitution for that person directly.
4.1 Requirement
In order to renew an AST License Agreement, the trainer must have recorded 45 CPD credits during the 3-year
license period.

The profile on the CPD platform is not connected to the AST profile in the SCA database, and the login
credentials are different. The username for the CPD platform will be the Learner ID.

platform.

If the pin is appearing at the incorrect place on the AST Map, the AST can correct this by following these
steps:
• Log in to the SCA Profile (See Section 5.1)
• Navigate to Profile>Company Details
• Scroll to map feature
• Drag the pin to the correct location
• Click Update Company Location Information to save changes
Guidebooks
Each course has a corresponding guidebook. This document contains the bulk of information necessary
for the AST to design lesson plans that prepare the learner for the course exams. The guidebook
includes information on delivery standards, learning objectives, terminology, references, activity guides
and more. The guidebook also includes the entire pool of written exam questions for that course.
Exams
Each course includes at least one exam. For the majority of certificate program courses there is both a
written and a practical exam. For some courses, there is just a written exam.
Certificates
Successful learners who pass the relevant exams are given a downloadable, digital certificate upon the
processing of payment for the applicable SCA Administrative Fees. The accomplishment is also
recorded in their SCA Profile.
To compliment the components of the program, SCA also produces supporting documents. These
include equipment and supply lists; resource materials and teaching tools.
ASTs use these documents and resources to build their own lesson plans and training materials. SCA
does not provide presentation outlines, visual aids, textbooks or other similar training materials.
Although course materials may not be shared with unauthorized individuals, the contents of the SCA
CSP Course Catalog may be used in marketing and promotional materials to communicate the scope
and content of the courses.
All course materials for a module, in all available languages, are contained in one compressed folder
that will automatically download to the computer. The title of the folder contains the date of the most
recent update to the course materials. A detailed change log is kept on a .txt file located in the folder.
6.3 Translations
The official operating language of SCA is North American English and the organization subscribes to the
Chicago Manual of Style.
Many times, new or revised course materials will first be released in English. Then, these documents are
often released in additional languages through phases. The order and availability of translated material
is dependent on demand, budgetary and staff resources, as well as volunteer support. Volunteers from
SCA chapters are often involved in creating or validating translations.
Online written exams and course materials are then available in the following languages as translation
processes are completed:
Arabic | Dutch | Greek | Polish | Portuguese | Russian | Turkish | Vietnamese
ASTs who have the skills and resources to assist with the translation or review of materials in these or
other languages are invited to discuss these opportunities by writing to completing this form.
6.4 Updates
Course materials are frequently updated. It is the responsibility of the AST to use the most current
course materials when designing and delivering courses. SCA uses a variety of ways to notify ASTs
when updates or changes are made to course materials, including:
• E-mail - Make sure the email address in the profile is always up to date and that the email
application is not blocking or filtering emails from accounts ending in @sca.coffee
All questions and feedback related to the content of curricula or exams is to be submitted using the
Course Materials Feedback Form, found in the AST Portal.
This centralizes the communication and helps SCA staff track progress on pending corrections and
updates. Messages sent through email are at risk of not being included in compilations. Social media
platforms are not monitored for this type of inquiry.
The CSP Quick Reference Table (See Appendix A) offers a simplified view of information related to
minimum instructional hours and assessments.
ASTs need to be thoroughly familiar with the Learner Guide to SCA Courses and be prepared to
respond to questions or requests related to these items.
Courses may NOT be held for less than the minimum stated hours. Courses may exceed the minimum
hours.
Regardless of who is assisting with the course, learners need to recognize the AST as the identifiable
trainer for the course. As an example, if SCA were to ask a learner from a specific course for the name
of their trainer, the name given needs to match the name on the certificate.
The design, content and intended outcomes of each course will determine the delivery method. The
AST should consult each course guidebook for specific directions related to the use of distance learning.
The following courses may be taught through a combination of distance-learning and in-person
sessions, but not wholly through distance-learning:
• CSP Intermediate and Professional courses
• All CTechP courses
In any situation where distance learning is being employed, the courses must:
• Be delivered by an AST through live instruction via an online platform.
• Meet the minimum course hours length stated in the course guidebook.
• Be delivered in sessions/blocks. Each session time should be no longer than 3 hours.
• Have a class size that allows for valuable learner and AST interaction.
SCA expects all learners to be full participants in a course, which includes taking the exams. Allowing
the learner to participate in the course without taking the exams can appear as a cost-saving measure in
the short-term. However, it can result in frustration and disappointment for the learner, the AST and SCA
staff in the future.
This is particularly true if a learner later decides that they want the certificate or would like to take the
Professional course for a certificate. SCA will not accept their course attendance as a prerequisite or
arrange for a separate assessment.
There are no practical exams in the Foundation courses of the Coffee Skills Program. The CSP Course
Skills Report is only used for Foundation courses and is not a pass/fail assessment. Only a passing
score on the written exam is necessary to obtain a Foundation course certificate. The AST will present
the learner with a copy of the completed report and discuss the contents of the report.
Intermediate and Professional courses include a practical exam, and do not include a CSP Course Skills
Report.
One request is submitted by the learner. The other request is submitted by the AST.
ASTs can submit a request on behalf of all learners in a course or for only certain learners in a course.
Important: If the request is approved it will require the AST to follow a different set of procedures once
the written exam is complete.
If a request is approved for ALL learners in a course to take the paper-based exams:
• The course will be noted as using a paper-based exam in the system.
• The appropriate paper-based exam will be sent to the AST.
If a request is approved for SELECT learners in a course to take the paper-based exams:
• The course will be noted as an online exam course in the system.
• The appropriate paper-based exam will be sent to the AST.
• For learner(s) in the course without the adjustment, the AST will follow the normal process of
sending the written exam invite.
• For the learner(s) with the adjustment the completion of the course, the AST will submit the exam
results by completing the Paper-based Exam Results Submission Form.
Staff-Initiated Adjustments
When reviewing and approving course announcements, SCA staff scan submissions for courses that
are being held in certain languages without a matching online exam. When identified, these courses will
automatically be noted as a paper-based exam course and an email will be sent to the AST with further
instructions on how to administer the exams and report results. This may require the AST to translate
materials from English to the relevant language.
The courses within each CSP module are designed to build on the knowledge and skills learned from
one course to the next. ASTs assume that learners are competent in the knowledge and skills of a
previous level and will not teach to remediate a learner.
Each AST will need to determine their own standard for admittance into the Intermediate courses based
on a learner’s Foundation certificate and CSP Course Skills Report, documented career experience, or
performance on a custom assessment designed by the trainer based on the learning objectives in the
Foundation course.
It is the AST’s responsibility to ensure that all tools and equipment are safe and in working order.
Equipment and supply lists for CSP courses can be found on the AST Portal under the AST Venue
Requirements. Equipment and supply lists for CTechP courses are included in each course guidebook.
● Capture all details of the arrangement in a signed document between the parties, including, but
not limited to:
○ The names and contact information of both parties.
○ The dates and times of the courses, including inspection, preparation, and breakdown.
○ Insurance coverage and expectations.
○ Equipment and supply lists.
○ Rental fees, and/or collection and distribution of payments received from learners.
○ Cancellation policies.
○ Emergency response plans.
○ Maximum capacity of learners.
● Conduct a visual inspection, either live or via video, well in advance of the course.
● Prepare themselves with the proper amount of insurance coverage for the situation.
Being marked as Denied does not prevent the learner from registering interest in another course and
does not have a negative impact on their profile.
ASTs can also add learners to the Course Dashboard manually by using the Learner ID.
Once the AST marks the learner as accepted or adds the learner to the course directly, that learner is
automatically added to the Course Dashboard. (See Section 10.3 Using the Course Dashboard)
It is not possible to delete a learner from a Course Dashboard. The AST can only mark the learner as
Absent. Once the learner is marked as Absent, this cannot be changed. Being marked as Absent does
not prevent the learner from registering interest in another course and does not have a negative impact
on their profile.
The Learner ID is a unique identifier that is generated automatically by the creation of the SCA Profile.
The Learner ID is required for adding any learner to a course and assists SCA staff in providing
customer service to a learner or AST.
The Learner ID is not the same as a SCA Member Number. A learner does not need to be a SCA
Member or have an SCA Member Number in order to take a course.
Users can view the Course Calendar without a Learner ID, but they cannot register interest in a course
without being logged in as a user.
The steps for creating a SCA Profile vary based on whether or not the user lives in North America.

The AST determines the order of testing, with either the online written exam or practical exam being
held first.
The online testing platform will automatically mark Pass or Fail in the Written Exam column.
When Complete | Pass is marked in the Skills Report | Practical Exam column, and Pass appears in
the Written Exam this will trigger the generation of an invoice for the SCA Administrative Fee and
prepare the learner’s course certificate for release upon receipt of those fees.
It is important for ASTs to be familiar with the steps in the process so that they may answer questions
from their learners.
Here is an overview of the steps in the process that begins when the AST selects Send Invitation in the
Course Dashboard:
For each online written exam available to a learner, one of the following status messages will
appear:

The AST has clicked Send Invite in the Course
Dashboard. The exam is properly scheduled and ready
for the learner to begin.
The learner passed the written exam. The result will be
automatically posted to the Course Dashboard.
The learner did not take the exam within the 21-day
window. The learner may request an extension by
writing to exams@sca.coffee.
The learner did not pass the first attempt at the written
exam. The second attempt is ready.
Step 7: Learner answers questions during the timed portion of the exam and submits finished
exam
• A Question Progress Box appears above the End Exam button in bottom center of the screen.
This table helps the learner manage their answers and track their progress through the test.
• If the learner selects End Exam before all questions have been answered, the student is
prompted to confirm the choice before submitting of an incomplete exam.
Step 9: Learner and AST receive an email with results and coaching report
• The coaching report lists by Question ID which questions were incorrectly answered.
• ASTs should reference the appropriate guidebook and use the Question IDs to locate the actual
question and corresponding answer choices available.
• If the learner is not successful on their first attempt, they will receive instructions for accessing
their second attempt. If a learner is not successful on their second attempt, they will be informed
to attend more another course and given instructions for appeal.
There are several reasons why a learner may ask for help to find a certificate. If the AST is confident that
payment for SCA Administrative Fees has been made and processed, the Troubleshooting Guide For
ASTs (See Appendix B: Trouble Shooting Guide For ASTs) may provide some other steps to take before
contacting SCA Staff.
