Mev’s Student Music Coordinator  

Prologue 2019-2020 :)))))) 


 
Congrats! I truly believe this is the best position of CU! It is consistent,
appeals to a diverse group of students, is creative, it’s fun, busy,
incorporates hospitality, and is social. We did a total of 10 Coffee Houses
this year, it was busy haha. It’ll be good to be in communication with your
Tech Gal when doing your CH’s.

Here is a pretty practical prologue to help guide you through the process!
Ruben’s prologue he made for me was absolutely hysterical lol so I
encourage you to read that for a good laugh and his insight haha

Your first event will be: ​Beamer Bash  


- Held in Stupe
- Ask past performers who you know are reliable and sound good
- We had Gospel Choir perform
- Don’t need coffee or anything for this

Beginning of Each Semester:  


- Hold auditions for a week in September and for one week in January
- Need to reserve lower beamer table for audition sign ups at the end of
September
- I used YouCanBookMe online and paid a monthly subscription
out of my own pocket which may have been a waste // could
possibly be in your CF budget // or maybe you can just use the
free version
- Reserve a room on 25Live for auditions (I used Kresge in Edman)
PLANNING For Coffee Houses: 
- After auditions I emailed everyone who made it in a massive BCC
email
- I had to cut a few groups each semester
- I used a Google Sheet to organize who made it and which CF they
would be
- You can email the performers the options for CF’s to see if they
have preferences
- Use your own judgement to place people where you think would
spread talent out and create a great show
- Email your performers 1/2 weeks before the CF date to remind
them

COFFEE
- We used I Have A Bean and the founder, Pete Leonard, is amazing
and gives it all to us for free
- We would get two, 3lb bags of coffee (ground for percolator) and you
use SAGA’s coffeemakers and cambros

- In order to use SAGA, you need to contact (I texted him the Monday
of a CF week) Goran who works for Bon Appetit, to reserve cambros

- It is fun to have flavored creamer at CF’s

Thursdays, The Night Of  


- We would meet at about 5:15pm to start set up on day of
- I would pick up coffee and creamer (and sometimes snacks) before
5:15 (I have a bean is right in downtown wheaton)
- It would be good to get a better way to hang up the CoffeeHouse signs
(like metal twine or something… we used this string stuff that sucked
lol)
- We used a chalkboard outside of SAGA to advertise the night of
- Have someone write a lineup of the performers to put up in Low
Beams during the CF
- We held all ours in the new Crossroads area
- You could try Stupe, but we didn’t do Stupe because it’s closed
off and hard to get into
- CF’s ran from about 7-9:20pm
- Be smart about where to place people in the lineup
- Biggest audience is usually from 8-9

Performers:  
- Emphasize how they need to give you at least 24 hours+ notice if they
are going to cancel on you ha ha …
- I gave each performer a 20 minute set (set up, performance, and take
down)
- Helpful to know how many songs they will do ahead of time
- Ask what instruments/mics they need ahead of time ​so
your tech gal can plan
- GO TECH GALLLL!

Collaborations:​
- Talk with the head of the other ORG and be in communication early
on
- Share tasks and give direction

It truly is my highlight of college. You’ll learn and grow so much. I am so
happy you get to take charge of the student music position.
