    How to Approve/Reject Qualifications in Skills Profile

    SUMMARY:

    This job aid provides instructions for people managers and Qualification Owners on how to approve or reject qualifications in
    Skills Profile.

    USE THIS JOB AID WHEN:

    Use this job aid as a resource to approve or reject qualifications in Skills Profile.

    HELPFUL HINTS:

    Access to employees Skill Profile will be available to HR and all people managers.
    The information available about your qualifications will be restricted to Skills Profile; employee personal information will not be
    released.
    Please refer to the Manager Guide for more clarification on how to use the Skills Profile with your direct reports. The Manager
    Guide can be accessed through RAKC>MSS>Skills Profile>Job Aids>Manager Guide.

    KEY TERMS:

    Skills Profile: SAP functionality allowing users to enter education, certifications, licenses and other technical applications/
    knowledge.

    Qualifications: Skills an employee possesses and enters in Skills Profile.

    Universal Worklist: An area in SAP where all workflow items such as a Qualification Request appears for further processing.

    My Services: This is a component you will see in ESS and MSS Favorites and frequently used links to facilitate your
    navigation in SAP. (Available for all employees after January 2016.)

    Step-By-Step Instructions
    Step:

    Instructions:

    1.

    Double click the SAP Enterprise Portal icon on


    your desktop and log on using your Rockwell
    Automation User ID and Password.
    If you are a Citrix User, use the job aid Access
    to the SAP Portal through Citrix located on
    RAKC>Other>Citrix>Job Aids>Citrix.

    2.

    Click Home (1) on the first level toolbar. On the


    second level tool bar, click SAP Inbox (2).
    Under Detailed Navigation, click Universal (3)
    Worklist.

    You can find Leave Requests, Qualifications


    and Positions to be approved in the Universal
    Worklist. Locate the qualification(s) that
    require your approval. In this example, there
    are four three are Qualifications and one is
    a Leave Request. Click the link to the
    qualification to approve or reject and the
    message, You have a Skill request pending
    your approval/rejection for Mr. Ralph
    Howard appears.

    4.

    Click the grey box to enable your action (1).


    Select either Approve or Reject (2). Then
    Save (3). When you click Save, you will see the
    message, The Qualifications below have
    been processed. You may close this
    window. In this example, we are approving the
    qualification.

    5.

    Close the window by clicking the X in the right


    corner.

    6.

    In the event you wish to reject the qualification,


    HR recommends that you discuss this with your
    direct report first before rejecting the
    qualification in Skills Profile. Only after the
    conversation, should you reject it in Skills
    Profile.
    In this example, click Reject.

    7.

    You have to select a reason for rejecting a


    qualification. Click the drop down arrow to view
    the reasons. You must select a reason for
    rejecting the qualification to finalize your
    actions.

    Click Save. You will see the message, The


    Qualifications below have been processed.
    You may close this window.

    9.

    Your employee will receive an e-mail in Outlook


    notifying them of your approval or rejection of
    their qualification.

    10.

    Your employee will also see the Qualification


    immediately, if approved in:
    My Services>Talent>Review/Update my
    Qualifications.
