Unit 7.4 - Using collaborative and productivity tools (E.g.

:
Microsoft Teams, Microsoft Excel)
Collaboration technology refers to software that is designed to help teams work together efficiently.
This software facilitates communication and aids in project management. It can enhance productivity
and support creativity and innovation within teams.

Technology today offers us a bunch of different options. More online collaborative tools spring up
every year. Here are some examples of collaborative tools that can support your team:

For communication, some options include:

Slack, which is a popular platform that offers instant messaging options, file transfers, and
several other features.
Flowdock, which is a group and private chat platform, and provides a team inbox that aggregates
notifications from multiple channels.
Microsoft Teams, a messaging and calling platform that allows the ability to upload and share
files as well.

For projects:
Asana, which, as mentioned earlier, can be used to assign tasks, follow projects, and monitor
deadlines.
Trello, which, similarly, is used for project management. It is easy to learn, with a user-friendly
interface.

For collaborative working:

Google docs, which allows multiple people to write on the same document at the same time.
Codingteam, which gives coders the opportunity to collaborate with one another when writing
code.
Quip, which started off as a mobile app but is now available on desktop. In Quip, project teams
can work live on different types of files.

While choosing software, companies should be aware of what their team’s needs are and choose
software or tools accordingly. Some tools may offer excellent service but they may not have multiple
features, which can hinder employees and limit efficiency in the long term. Similarly, while some
software might be capable of handling multiple tasks and complex interactions, they may be difficult
to use and this can lead to a drop in productivity instead of an improvement. It’s also important to
pay attention to privacy options while using collaborative tools. This is because sometimes, files and
chats have the need to be private, especially when working on sensitive projects.

Collaboration tools are an important invention that save time and resources. They improve
communication, foster idea generation and enhance team productivity. In the wake of the Covid-19
pandemic, the popularity of collaborative tools seems to be growing exponentially, as it is conducive
to remote work as well.
