Congratulations – we're offering you a job!

Further to your recent interview, we are delighted to offer you a position with Asda ‘Stores Limited’
(‘Asda’), the details of which are as follows:

You'll find all the main information about your terms of employment in this offer letter. Further details
appear in your Asda Retail Colleague Handbook, which is available on the Asda Pre-boarding Portal and
on One Asda.

What do you need to do?

Make sure you take the time to have a good look through this offer letter. Once you're happy, please go to
the "What do I do now" section at the end of this letter and follow the step-by-step instructions.

Employment Type: Temporary

Start Date:

Your employment will commence on 31 December 2022 and will continue until 31 December 2022. Your
employment can be terminated at any time within this period, subject to the normal notice period being
given. The length of notice which you are obliged to give and entitled to receive to terminate your contract
of employment is set out in the ‘Notice Period’ section of the colleague handbook

Your period of continuous employment with Asda will commence on that date. No employment with a
previous employer counts towards your period of continuous employment.

Job Title: Services Colleague

Asda may, from time to time, change your duties, your role, your rota (days of the week you work), your
job title and/or the department in which you work, either on a temporary or a permanent basis. Unless
otherwise agreed, Asda will give you a minimum of four weeks’ notice of any such change.

Responsible to:

Your Line Manager or such other person or role as Asda may from time to time specify.

Pay:

Base Rate: £10.10

The base rate of pay applies to all hours worked, including to any hours worked in excess of 36 hours in a
week and to hours worked on a Sunday or on any bank or public holiday. No premiums are payable
unless they are mentioned in this letter or in the colleague handbook.
Night Premium:

You will receive a £2.68 supplement on top of your base rate for every hour worked.

If you work during the night window designated by Asda, you will be paid a night premium at the rate set
out above for any time you work during this period.

The current night window is midnight to 5am on each day.

You will receive a location supplement of £0.60

You will be paid 4 weekly, one week in arrears, directly into your bank or building society account. Asda
may change the frequency of payments or the pay date. You will be given at least four weeks’ notice of
any such change.

Your normal place of work will be Harlow.

Hours of work:

You are employed to work 15 hours per week.

Details of your initial rota are at the end of this letter.

You are required to work your hours at such times as they may from time to time be rota’d by Asda. You
may be rota’d to work on any day of the week, including weekends, bank holidays and public holidays.

Asda may at any time change your rota, either on a temporary or a permanent basis. This may include
changing your shift pattern, the days on which you work, the number of days which you work, the length
of shift or your start or finish times. Unless otherwise agreed, Asda will give you a minimum of four weeks’
notice of any such change.

Sunday working:

For more information refer to Sunday Working policy on One Asda.

Breaks:

All breaks are unpaid. Break entitlements will be determined by the length of your shift. The length of your
break will be determined as set out below:

Shift Length - Entitlement (18 and over):

• Under 4 hours and 10 minutes = No break


• 4 hours and 10 minutes or more but < 6 hours 10 minutes = 15 minutes
• 6 hours 10 minutes or more but < 8 hours 10 minutes = 30 minutes
• 8 hours 10 minutes or more but < 9 hours 10 minutes = 45 minutes
• 9 hours 10 minutes or more but < 11 hours 10 minutes = 60 minutes
• 11 hours 10 minutes or more = 90 minutes
Shift Length - Entitlement (under 18):

• Under 4 hours and 10 minutes = No break


• 4 hours and 10 minutes or more but < 6 hours 10 minutes = 30 minutes
• 6 hours 10 minutes or more but < 8 hours 10 minutes = 30 minutes for shifts under 8 hours. 60
minutes for an 8-hour shift
• 8 hours 10 minutes or more but < 9 hours 10 minutes = Under 18 colleagues are not permitted to
work for more than 8 hours per day
• 9 hours 10 minutes or more but < 11 hours 10 minutes = Under 18 colleagues are not permitted
to work for more than 8 hours per day
• 11 hours 10 minutes or more = Under 18 colleagues are not permitted to work for more than 8
hours per day

Probationary Period

You will have a 12 week probationary period, which is in place to see whether you are able to meet the
standards for the job. During these 12 weeks you should have regular 10 minute reviews with your Line
Manager (and more detailed reviews in weeks four, eight and 12). Please ensure that you book these
reviews with your Line Manager. We hope that all our new colleagues will have a successful probationary
period, but if after any relevant training and coaching you have not met the required standards then we
may extend your probationary period or decide to end your employment with Asda.

Notice Period;

The periods of notice required by you to terminate your employment are set out below;

Up to 5 years service- 1 weeks notice

More than 5 years service- 2 weeks notice

The periods of notice Asda is required to give to terminate your employment are set out below;

Up to 4 weeks continuous service- no notice

4 weeks < 2 years continuous service- 1 week notice

2 years < 3 years continuous service- 2 weeks notice

3 years < 4 years continuous service - 3 weeks notice

After 4 years continuous service- 4 weeks notice: increasing by 1 week per complete year of service up to
a maximum of 12 years.

For information regarding notice periods, refer to the Colleague Handbook which can be found on the
Asda Pre-Boarding Portal.

Holiday Entitlement:
Your holiday entitlement will be 28 days per holiday year, including bank and public holidays (pro-rated
for part-time colleagues), consisting of 28 standard days. The holiday year commences on the first
Sunday of April.

On termination of your employment, you will be entitled to be paid any accrued but untaken holiday as at
your leave date. If you have taken more holiday than your accrued entitlement at the date of termination
of your employment, you will be obliged to reimburse Asda for the holiday pay paid to you in excess of
your accrued entitlement or Asda may deduct the appropriate amount from any payments due to you.

Bank and Public Holidays:

No bank or public holiday premiums will be paid for hours worked on bank or public holidays except for
Christmas Day, Boxing Day and New Year’s Day as specified in the ‘Bank Holidays’ section of the Asda
Retail colleague handbook.

Other Types of leave:

You may be eligible to take the following types of paid leave, subject to any statutory eligibility
requirements or conditions and Asda's rules applicable to each type of leave in force from time to time:

(a) statutory maternity leave and you may be eligible to receive company maternity pay subject to the
rules set out in the company's maternity policy from time to time;

(b )statutory paternity leave and you may be eligible to receive company paternity pay subject to the rules
set out in the company's paternity policy from time to time;

(c) statutory adoption leave and you may be eligible to receive company adoption pay subject to the rules
set out in the company's adoption policy from time to time;

(d) shared parental leave and you may be eligible to receive company shared parental pay subject to the
rules set out in the company's shared parental leave policy from time to time; and

(e) parental leave (including bereavement leave) and you may be eligible to receive company parental
bereavement pay subject to the rules set out in the company's parental bereavement leave policy from
time to time.

Further details of such leave and your pay during such leave are available in the colleague handbook. We
may replace, amend or withdraw the company's policy on any of the above types of leave at any time.

Sick Pay:

Sick pay will be determined based on your length of service.

Length of service - Maximum duration of Company Sick Pay (CSP):

• Up to 39 weeks = No Payment
• 39 weeks < 2 years = 6 weeks
• 2 years < 5 years = 8 weeks
• After 5 years = 12 weeks

Education:

If you are a colleague based in England, you are required to stay in some form of education or training
("Further Education") until your 18th birthday.

If this applies to you, please confirm the following information (and provide copies of any documentation
you have relating to your Further Education) to your People Manager or Store Manager:

• The name, address and contact details of your Further Education provider;
• Your weekly, hourly commitment to Further Education (including details of the days this occurs
and any personal study time required); and
• The date your Further Education will end.

Please note: your recruitment is conditional on you providing this information.

Disciplinary and Grievance Procedures:

Disciplinary and grievance procedures are contained in the people policies section of One Asda, our
intranet. These procedures do not form part of your contract of employment. If you wish to appeal against
a disciplinary decision or wish to raise a grievance, please put in writing to your Line Manager.

Asda Pension Plan:

Asda will assess you against the criteria to be automatically enrolled into a pension, subject to the
relevant conditions of the Pensions Act 2008. If you meet the criteria, you will be automatically enrolled
into the Asda Pension Plan (“Plan”) after a three month postponement period. Where possible,
contributions will be made under Pension Saver, a form of salary sacrifice, unless you tell us otherwise.
Further details of Pension Saver can be found on the Pensions page on OneAsda.

Alternatively, provided that you are aged at least 16 and under age 75, you can apply to join the Plan at
any time, subject to the Plan rules in force from time to time, by completing the Join form on the Pensions
page on OneAsda (the form has to be completed and signed by you).

If you apply to join, you’ll be able to choose between two contribution options. The choices are either:

a) £5 each pay period, with no contributions from Asda


b) 5% of your pay (or more if you’d like to), with contributions of 3% of your pay from Asda. Both you and
Asda would only pay contributions on pay between the lower earnings threshold* and upper earnings
threshold* each pay period

If you choose option a), Asda won’t pay any contributions for you. Under this option you could
automatically be switched to option b) if you meet the auto enrolment conditions in future. You can find
further details on the Join form on OneAsda.

* the lower and upper earnings thresholds are set by the Government and usually change each tax year

For more information on the Plan and Pension Saver, please refer to the Pensions page on OneAsda.
Please note the rules of the Plan and Pension Saver in force and as amended from time to time will
always override the terms described in this letter. You have no contractual right to participate in the Plan.
At its absolute discretion, Asda reserves the right at any time to:

(1) Alter the terms of, replace or terminate the Plan


(2) Change the terms upon which you participate in the Plan
(3) Change contribution percentages
(4) Amend or discontinue Pension Saver at any time

There is a limit to the amount you can build up in total across all of your pension plans before incurring a
tax charge. This is called the Lifetime Allowance. If you exceed this amount a tax charge may be payable
on the excess. You may have (or have applied to the HMRC for) Protection and have a higher Lifetime
Allowance. It is important that you let the Pensions Team know straight away if you have protection by
email on pensions@asda.co.uk or Telephone 0113 826 4854.

We recognise that some people don’t want to receive pension contributions from their employer for tax
reasons. If this is an issue for you, please contact the Pensions Team to discuss the options that may be
available.

Death Benefit Scheme:

If you die whilst employed by Asda, under age 75 and have completed at least three years continuous
service, you may qualify for a lump sum payment equal to your gross earnings in the tax year prior to
death. If you had any unpaid sick leave in the tax year prior to death, this benefit will be based on your
contractual pay at death if this is higher than your prior year gross earnings.

Death benefits are provided through the Asda Death Benefit Scheme ("The Scheme"). No colleague has
a contractual right to become or remain a member of the Scheme and Asda reserves the right to change
the terms of or stop the Scheme at any time, and there may be changes in legislation that change how
the Plan or the Scheme operates. The Scheme is run in accordance with the Trust Deed and Rules,
which may vary from time to time. The details above are a summary of the benefits provided, but in the
event of any difference between the summary above and the Trust Deed and Rules, the Trust Deed and
Rules will always apply.

Conditions Precedent:

This offer is subject to a number of conditions. If you don't satisfy these before your scheduled start date
then the offer will automatically be withdrawn.

below)

Colleague Discount:

You will be eligible to participate in Asda’s Colleague Discount Scheme. Certain products are excluded
from the discount scheme and these may vary from time to time. Full details of the scheme and rules can
be found on OneAsda on the Colleague Discount page. This is a discretionary benefit and not a
contractual right. For any further enquires please contact the HRSS Salaried People Services Team on

Right to Work:

We are required to check that all potential colleagues have the right to work legally in the UK. This must
be done before your employment with Asda begins, so this offer of employment is conditional upon you
producing the documentation and it being to our satisfaction. If relevant, we will also need to regularly
review any temporary right to work documents to ensure your ongoing right to work in the UK. Until you
have provided the appropriate documents and we are satisfied with them, your employment with Asda will
not commence despite anything else stated in this letter. We require you to produce original documents in
person, usually at your interview. The original documents will be checked, photocopied and returned to
you. In the event you do not accept this offer, the photocopies will be securely destroyed. If you have not
yet completed this check and wish to accept this offer, please contact us as a matter of urgency. Failing
to provide this information may result in your offer of employment being withdrawn.

Health questionnaire:

A health questionnaire is included in this offer pack. Please ensure that the questionnaire is completed
fully and honestly. This offer of employment is conditional on it being completed. Asda will review the
content of the questionnaire and pass the completed form on to our Occupational Health provider.

Throughout your time at Asda, we collect and use your personal information to meet our responsibilities
as an employer and to help improve our business. We handle it in line with our Privacy Promise which is
available on our Privacy Centre (www.asda.com/privacy), along with more information about your Privacy
Rights. We provide all our colleagues with details on what personal information we collect, how we use it
and how we look after it on the Privacy Section of One Asda.

Changes:

In addition to the express flexibility set out above in relation to duties and hours, Asda reserves the right
to amend any of your terms and conditions of employment from time to time to reflect the changing needs
of the business and/or to comply with legal developments.

Terms and Conditions:

This letter together with: those sections specified in the ‘Your Terms and Conditions’ section of the
Colleague Handbook (as amended or replaced from time to time) form your terms and conditions of
employment with Asda Stores Limited. They represent the entire agreement between you and Asda in
relation to your employment and replace all previous agreements between us.

A copy of the Colleague Handbook and Asda’s current people policies can be found on One Asda. Asda
may amend any and all of these documents from time to time.

There are no collective agreements that directly affect your employment.

Your offer of employment is conditional upon Asda receiving a satisfactory check. Your Line Manager can

What do I do now?

Please confirm your acceptance of this offer within 14 days of receiving this letter by electronic signing
the ‘sign and accept’ section on the Asda Pre-boarding Portal. If your acceptance is not finalised within
this period the offer outlined in this letter will be withdrawn, unless a longer period of time has been

Every colleague has a contract with an agreed number of hours and a base location, which is detailed in
your contract above.

Because we know it is important we serve our customers as and when they need us, this may mean we
need you to change the days and time you work and department you work in your store. We will always
give you at least four weeks' notice of any change to your hours, days or department, and take into
account any personal circumstances. In the instance where we might change your department, we will
always make sure you have the appropriate training before being moved.
We may sometimes ask at short notice that you cover sickness or short-term absence but we will always
talk to you about any of these changes.
