Dynamic Scheduling

Use
Dynamic scheduling allows you to schedule meter readings based on a company-specific reading cycle and factory calendar. The aim is to have a similar
number of meters read on each working day.
Dynamic scheduling is mainly used for monthly meter reading but can also be used for other reading and billing periods. It is also possible to use dynamic
scheduling together with the budget billing plan if the reading period is greater than one month.

Prerequisites
To activate dynamic scheduling, set the Dynamic scheduling active flag in Customizing for SAP Utilities under Basic Functions → Portioning and Scheduling →
Dynamic Scheduling → Define Control Parameters for Dynamic Scheduling. The Dynamic Scheduling flag is now displayed in the portion.

Process Flow

Settings in the Portion


1. Make entries in the following fields:
¡ Text for schedule master record
¡ Parameter record
¡ End of billing period
¡ Allocation date of billing
¡ Allowable budget billing cycles
¡ Factory calendar ID
2. The Correct non-workday field has no influence on the dynamic portions and is no longer displayed once you have created the dynamic portion.
3. Dynamic Scheduling flag
You can make the following entries:
1 – Dynamic scheduling, without budget billings
2 – Dynamic scheduling, with budget billings
Option 2 only makes sense for billing periods larger than one month.

If you chose 2 in the Dynamic Scheduling field, you can set up your portion in the following way:

§ Billing period: 3 – 3 Months


§ Budget billing cycle: 01 – Budget billing amounts are calculated in monthly intervals
§ Number of budget billing amounts dependent on budget billing cycle: 2
4. The entries for fields Allocation date for billing, Scheduled date for invoicing printout, and Meter reading allocation date (meter reading unit) are determined
automatically from Customizing. Depending on the Fix date for allocation of billing and invoicing printout flag in the Define Control Parameters for Dynamic
Scheduling activity, the following data is transferred directly:
¡ Allocation date for billing from the portion
¡ Print date for invoicing from the portion
¡ Allocation date for meter reading from the meter reading unit
In this case, the dates are not determined dynamically.

If you are using an older version than SAP IS-U 4.71, the flag is not set automatically in Customizing. In this case, we recommend that you set the flag
manually. This is because the allocation date should never be moved dynamically. It is particularly important that it is not moved to the following month, as this
would cause problems for the budget billing plan and the payment plan.

If you want the Scheduled Date for Invoicing Printout field to be populated in the dynamic schedule record for the portion, you also have to maintain it for the
dynamic schedule master record for the portion.
5. The Scheduled billing date field is controlled by the parameters in the Define Control Parameters for Dynamic Scheduling activity. This field will always be
populated in you dynamic portion schedule record, regardless of whether or not you maintain it for the dynamic schedule master record for the portion.
6. The Allocation date for gas billing field is either identical to the End of billing period field or to the Scheduled billing date field. This depends on which date is
older. If you want the field to be populated in the dynamic schedule record for the portion, you also have to maintain it for the dynamic schedule master record for
the portion.

Settings in the Meter Reading Unit


1. If you define a portion as dynamic, all allocated meter reading units are automatically defined as dynamic as well.
2. The same factory calendar is used for the meter reading unit as was used for the portion.
3. The End of meter reading period field for the meter reading using is always identical to the End of billing period field for the portion.
4. The Scheduled meter reading date field for the schedule records of the meter reading unit is determined by a parameter in the Define Control Parameters for
Dynamic Scheduling activity. You can define a negative interval between the scheduled meter reading date and the end of the meter reading period. A check
takes place in Customizing to ensure that the scheduled meter reading date does not come after the scheduled billing date.
5. The other dates of the dynamic meter reading units are determined by the intervals you maintained for the meter reading unit In addition, in the Define Control
Parameters for Dynamic Scheduling activity, you can define for each date whether or not to use the factory calendar to determine the intervals.

You can find the transactions for dynamic scheduling in the SAP Easy Access menu under Utilities Industry → Scheduling → Dynamic Scheduling Record:
· Create/Replace Dynamic Schedule Records
· Change/Display Dynamic Schedule Records
· Delete Dynamic Schedule Records

Example:
Define dynamic portions and allocate meter reading units.
The number of consecutive days, for which you set up portions, represents the your company’s reading cycle. The following examples show how to set up
portions and meter reading units. In the examples, we will use the following naming conventions:
· Portions: POR_XXX
· Meter reading units: MRU_XXX

A monthly meter reading is carried out, starting January 1st with a 20-day reading cycle.

Starting on January 1st, and each day for 20 consecutive days, you have to define at least one portion with an end of billing period for that day. You can then
define the meter reading units and allocate them to the portions.

The table below clarifies the example and allocates the portion or meter reading unit to the relevant meter reading date.

A quarterly meter reading is carried out, starting February 1st with a 21-day reading cycle.

Starting on February 1st, and each day for 21 consecutive days, you have to define at least one portion with an end of billing period for that day. Define a 2-
monthly reading cycle for the portion. You can then define the meter reading units and allocate them to the portions.

The table below clarifies the example and allocates the portion or meter reading unit to the relevant meter reading date.

Ensure that the number of registers to be read each day is the same.

Create/Replace Dynamic Schedule Records

Use
You use this transaction to delete all existing schedule records of dynamic portions and meter reading units for a specified period (required entry) and factory
calendar (optional entry) and create new ones.
You can use this transaction in the following cases:
· You want to create a complete new dynamic schedule for a specified period.
· You want to add a new portion to an existing dynamic schedule.
· You want to add a new meter reading unit to an existing dynamic schedule.

Creating a New, Complete Schedule Record


1. Enter the dynamic period
2. You can limit your selection by entering a factory calendar ID

3. Choose with the quick info text Execute

Adding a New Portion to an Existing Dynamic Schedule Record


1. Enter the portion that you want to add in the Portion field.
2. Enter a reference portion in the Reference Portion field. This reference portion must have the same billing cycle dates as the portion you want to add. The
reference portion must also have schedule records.
3. Choose with the quick info text Execute
4. New dynamic schedule records are created for the entered portion without changing the existing schedule records.

Adding a New Meter Reading Unit to an Existing Dynamic Schedule Record


1. Enter the meter reading unit that you want to add in the Meter Reading Unit field.
2. Enter a reference meter reading unit in the Reference Meter Reading Unit field. This reference meter reading unit must have the same billing cycle dates as
the meter reading unit you want to add. The reference meter reading must also have schedule records.
3. Choose with the quick info text Execute
4. New dynamic schedule records are created for the entered meter reading unit without changing the existing schedule records.

Change/Display Dynamic Schedule Records

Use
You use this transaction to display the schedule records of all portions for one year and to change the dynamic schedule records manually.

Display Dynamic Schedule Records


1. In the Start Dynam. Year field, enter the month and the year from which you want the schedule records to be displayed.
2. Enter other data as required.
3. You can choose to display all schedule records or only dynamic schedule records. If you only want to display dynamic schedule records, set the flag in the
Dynamic portions only field.
4. Choose with the quick info text Execute
5. A list of dates is displayed. The dates are the end of billing periods of the schedule records for the portion.

Change Dynamic Schedule Records


1. Proceed as described in the previous section Display Dynamic Schedule Records. Note, that you can only change dynamic schedule records.
2. Select the date that you want to change from the list and choose with the quick info text Execute. A list of all portions scheduled for the selected date is
displayed in a dialog box.
3. You can now reschedule the records from the selected portions by entering a date in the Scheduled Date field. All schedule records of the allocated meter
reading units are changed as well.
4. If you set the Change Successor flag and move the schedule record of a portion to the next day, all subsequent portions are moved to the next possible meter
reading day as well.
If you do not set the flag, the subsequent portions are not rescheduled.
5. Choose with the quick info text Execute

Delete Dynamic Schedule Records

Use
You use this transaction to delete dynamic portion schedule records, dynamic meter reading schedule records, and possible budget billing plans for the portions.

Prerequisites
You can only delete dynamic schedule records if the following objects do not exist for the selected portions and meter reading units:
· Meter reading orders
· Meter reading results
· Billing orders
· Billing documents

Procedure
Enter the following data:
· Dynamic scheduling (required entry)
· Factory calendar ID (optional entry)
· From-Date (optional entry)
It is not possible to enter a to-date. This means that all dynamic schedule records after the from-date are deleted. This ensures that inconsistencies do not occur
within the existing dynamic scheduling.
