causes of misunderstanding in communication

a. Problems in developing the message

1. Indecision about message- the sender may be unsure about what message to send or how much
information to communicate. This may happen when either the sender has too much or too
little information on a subject.

2. Lack of familiarity with the situation or receiver - For effective communication it is important to
know the audience well. Some of the critical information to be gathered about the audience is
the age, sex, educational background, cultural background and preferred language. This
information helps in designing content that is appropriate for the audience and will be received
well.

3. Emotional conflicts- If the sender faces emotional conflict or highly charged emotions like anger,
while encoding the message, the message may lack coherence or may be too laden with
emotions to be understood correctly.

4. Difficulty in expressing ideas - Some students are much more adept at written answers than
verbal responses. This could be due to personality traits such as shyness or an inability to
process information in a timely way. These students may have trouble when placed ‘on the spot’
or may experience difficulty putting their thoughts into words.

b. problems in transmitting the message

1. No proper facilities - means "any and all public and private instrumentalities used or useful in
the transmission of writing, signs, signals, pictures, or sounds of all kinds and includes mail,
telephone, wire, radio and all other means of communication.

2. Illegability of written messages - not legible; impossible or hard to read or decipher because of
poor handwriting, faded print, etc.: This letter is completely illegible.
3. Possibility of contradictions – due to a multiple copies of a transcript, confusion may occur
4. Too many links in the communication – one of the primary factors of confusion and delay

c. problems in receiving the message

1. Physical distraction - The receiver may have physical impairment (difficulty of hearing, poor eye
sight) that could cause hindrance in understanding the message
2. Lack of concentration - The receiver may not have enough capacity to concentrate and may get
his/her mind wander off the message
d. problems in understanding the message

1. Different cultural background - Cultural diversity makes communication difficult as the mindset
of people of different cultures are different, the language, signs and symbols are also different.
Different cultures have different meaning of words, behaviors and gestures. Culture also gives
rise to prejudices, ethnocentrism, manners and opinions.

2. Different interpretation of words – choosing ambiguous words or terms to convey your message
will lead the receiver to confusion and misunderstanding. You can avoid any ambiguity by
repeating the term or or using alternatives.

3. Different emotional reaction - when emotions are expressed appropriately, senders are able to
formulate a message that reflects their internal status and intentions while considering audience
needs and perceptions. The audience, too, benefits by receiving a clearer and more easily
understood message. Emotions affect communication in many ways.

g. principles of effective communication

1. Clarity - It makes understanding easier. Complete clarity of thoughts and ideas enhances the
meaning of message.

2. Cocreteness - It is supported with specific facts and figures.


It makes use of words that are clear and that build the reputation. Concrete messages are not
misinterpreted.

3. Courtesy -courtesy implies taking into consideration both viewpoints as well as feelings of the
receiver of the message.

4. Correctness- correctness in communication implies that there are no grammatical errors in


communication.
