The document discusses developing an automated appointment system for Dr. Arenas Dental Clinic that facilitates online booking, SMS notifications, and displays data analysis on service performance.

The dental clinic currently uses a manual process for appointments and record keeping, which can lead to errors, inefficient use of staff time, and difficulty tracking performance.

The dental clinic offers various services like dental cleaning, fillings, root canals, etc. The system aims to classify these services.

INTRODUCTION

RATIONALE OF THE STUDY

A dental clinic is technically any place where dental services are rendered.

Customers must manually put up their information in the registration form using the

usual approach, and the information is only kept in files. The files will be placed in the

rack after registration, which will cause issues such as taking longer to retrieve

information, making mistakes while writing, or misplacing the files.

However, many dental practices still require patients to make a phone call in

order to schedule appointments. Not only is this a major inconvenience for the patient

that may make them reluctant to schedule their next appointment, but it's also an

inefficient use of your staff's time. Fortunately, there are a few systems on the market

that can help dental practices facilitate online bookings.

As healthcare workers are experiencing an increase in their workload, a patient

scheduling system could be a way to relieve some of the stress. With patient

appointments scheduled in advance, healthcare facilities can plan resource allocation in

advance, increasing efficiency and reducing staff’s stress levels. Moreover, they can

regulate the patient flow better with appointment booking solutions. (Thamrin, 2020)

According to Paldez (2018), some dental clinics still use manual operations to

run their business, like storing all their data in a secured drawer. The room for errors is

very wide when it comes to keeping and updating records. Also, keeping track of a

dentist's performance and business is also hard. Typically, an appointment system

includes a variety of analytics tools
Souththat showPhilippines
Cotabato, when they receive a high volume of

reservations, what types of people prefer property, and what upgrades sell the best.

This valuable information will outline the areas where they need to focus, saving time,

effort, and money on approaches and activities that simply don’t work for them.

The proposed solution for the above-listed concerns is a DR. Arenas Dental

Clinic Appointment System. Clients can utilize the system to reserve services by

selecting a convenient date and time, entering their information, selecting a payment

option, and submitting an appointment. The system also includes an SMS notification

feature, which notifies clients about their upcoming bookings and displays data analysis

of their service performance on a scale. The system will improve customer service in

general.

OBJECTIVES OF THE STUDY

2|Page

General Objectives South Cotabato, Philippines

The proposed project aims to develop a system that would facilitate appointment

reservations with SMS notification and to display data analysis.

Specific Objectives

a) To develop an automated forecasting system that can classify the services

offered by Dr. Arenas dental clinic.

b) To identify which services offered are the most availed by the patients in Dr.

Arenas dental clinic.

c) To develop a system that can display the total number of patients in Dr.

Arenas dental clinic.

d) To develop an automated system that can display the monthly record of the

dental clinic services.

SCOPE AND LIMITATIONS OF THE STUDY

Scope

The patients and healthcare providers who will use the system will be the focus

of this project. It will be easy to schedule an appointment using the system, and it will be

the most convenient way to save patient information. The project will be implemented in

the Dr. Arenas dental clinic.

The prototype can be used by dental admin to manage the appointments of

those patients who need them and for those who would like to make them via a system

anytime and anywhere. The proposed system will save the time and effort of patients

3|Page
SOUTH EAST ASIAN INSTITUTE OF TECHNOLOGY
COLLEGE OF INFORMATION AND COMMUNICATION TECHNOLOGY
National Highway, Crossing Rubber, Tupi, 9505
from waiting to make an appointment, as Philippines
South Cotabato, well as reduce the work of system

administrators by accessing information for reporting purposes.

The system administrator needs to maintain the records of patients. A user

should be able to know the availability of a particular date. They should be able to

reserve the available date and time in advance, according to their needs. In this project,

the dentist personnel will play the role of administrator or maybe the admin. The dentist

can update and add the patients' information and appointment schedule. This system

also generates data analysis reports and can view the previous and current patient

records. The system can provide SMS notifications for those clients who take their

schedule as confirmation that they already have an appointment.

Limitation

The system is only accessible at Dr. Arenas Dental Clinic. In addition, the system

restricts accounting and finance. It simply functions as an appointment and transaction

for Dr. Arenas Dental Clinic. The software would not include billing features or the ability

to accept payments from patients via the internet. The system unable to offer printing

reports.

SIGNIFICANT OF THE STUDY

The system that the proponent will develop will benefit the concerns of Dr. Arenas

Dental Clinic. The system will provide patient information, a powerful appointment

has an advantage over other clinics in using advanced technology in terms of having an

organized, simplified but effective appointment system. It will be of great assistance in

their day-to-day operations easy. It will be an instrument to make it more competitive in

the market. That gives the possibility of increasing potential patients and developing

more loyal patients.

Future Researchers: The study can serve as the basis for their version of the Dental

Clinic Appointment System. The output of the project comes in two forms, the document

and the source code of the system. Completed documents will serve as the literature

while the system will serve as their guide in development.

Patients: This study will benefit the patients for ease access of viewing services for

effortless since it displays in the system. It provides more quality service, and it will be

more convenient for them. It will reduce the time it takes for them to book an

appointment. It will also give them easy access to their records anytime and anywhere

to help them monitor their dental information.

Researchers: The success of this study will contribute to their knowledge and skills as

developers and programmers. Aside from technical skills, the development of the

system will enhance their capabilities and will make them critical thinkers by thinking of

solutions to implement an effective system to solve the problems of the company.

LOCAL STUDY

Dr. Joanne Sapotin-Lozano Dental Clinic Management System by Lotayo et al.,

(2020) Dental Clinic is an organization that is responsible in providing a health

medication and treatment for all types of dental patients. Surely, everyday there are

people that need to use the dental clinic services. But how can clinic provide a faster

and efficient services if they are still using the traditional method on their daily

operation? The traditional method means the customers need to fill in their detail in

registration form manually and the information will only keep in files. After the

registration, the files will be place in the rack and this will cause problems like taking a

longer time to retrieve the information, make mistakes during writing or misplaced the

files.

Nowadays, technology has changed many aspects of life and people’s daily life

is becoming indivisible from the network due to the development of Internet. With dental

clinic management system, the process gets much faster and more efficient than

traditional way. Even t0hough the dental clinic had a system, but they still do not use the

application. It is because there are facing several problems during process

management.

As proponents, this study aims to propose the Dental Clinic Appointment System

system also provides appointment feature, which allow staffs to view the appointment

that already made by doctors. This new system will replace the current system that is

used in clinic and surely this system will improve the clinic services and make their daily

operation running smoothly. Patient treatment module consist the information about the

tooth examination and record and list of treatment that has done. The objectives of the

project are to develop decision support system for dental clinic, to improve part of

record patient examination form and analysis the cause of tooth disease, prevention

and treatment.

Dental Clinic Management System by Kwan (2018). This project is a clinic

management system that will be used to solve the current problems that facing by the

local clinic in Malaysia. Clinic Management System is a web-based platform system.

The main objectives of this project are to improve the business process of the clinic in

Malaysia by using the information technology and also enhance the current clinic

management software in the market. The scope of this project includes systematic

scheduling in queue list, appointment module with SMS notification, patient’s

registration using MyKad reader and generate medical certificate (MC) to print out.

Systematic scheduling can sort the patient in the queue fairly and display the waiting

time of each patient. Patient can make appointment and notification will be send to their

phone. Besides, patient can use MyKad during the registration at the counter which is

quite convenient and save time. Other than that, MC can be generated and print out on

the paper and doctor just need to sign the MC and chop with his name. As this is a web-

based platform system, C# is the programming language and the project is developed

under ASP.Net framework. The software development methodology that used in this

Foreign Literature

Safety Net Dental Clinic by See Levin (2017). Before beginning operations, the

clinic will need to develop policies and procedures controlling the purchasing of all

supplies (both dental supplies and office supplies) for the clinic. In most circumstances,

the dental director or chief medical officer will delegate those staff members who have

the authority to order and purchase supplies. Payment for such supplies are usually

handled by personnel in the business office based on pre-determined budgets.

Policies and procedures should specify who on the staff will have access to the

inventory and what protocols will be in place to deter misuse and theft. A dentist, dental

hygienist, and/or dental assistant should have purchasing authority to maintain stock of

dental materials and supplies. On the other hand, a clerk, office manager, receptionist,

15 | P a g e

COLLEGE OF INFORMATION AND COMMUNICATION TECHNOLOGY

or other non-clinical person should be delegated
South to order the office and miscellaneous
Cotabato, Philippines

supplies. Limit the number of people who have access to the clinic's monetary

resources, but maintain adequate ordering flexibility to ensure that supplies can be

purchased during staff absences or turnover.

It is advisable to have a system to purchase, stock, and track supplies, including

monitoring expiration dates. In addition, it is crucial to monitor all overhead expenses for

a dental operation. Inventory control is one area that needs to be reviewed on a

consistent basis for variances. If the clinic is purchasing some or all dental supplies from

mail-order sources, logistical considerations are important. For example, many dental

materials have a finite shelf life that must be taken into consideration. Personnel must

be proficient in tracking the rate of use of these items to prevent running out of critical

supplies and to ensure that the items do not get used past their expiration date.

Therefore, inventory monitoring is essential. The lack of any critical supply can bring

clinic operations to a halt. By setting clear inventory targets, one can establish a

process that allows the practice to purchase supplies on a regular basis, avoid

mistakes, and maintain expenses. Depending on practice volume and types of oral

health services provided, it is recommended that total expenses for dental supplies

(excluding office supplies) range between 6 percent and 12 percent of overall expenses

for a dental operation. Exceeding this benchmark compromises the budget for the

dental practice.

16 | P a g e
SOUTH EAST ASIAN INSTITUTE OF TECHNOLOGY
COLLEGE OF INFORMATION AND COMMUNICATION TECHNOLOGY
National Highway, Crossing Rubber, Tupi, 9505
Furthermore, the geographic locationPhilippines
South Cotabato, of the clinic and environmental

considerations may influence the timing of ordering for delivery. Some dental materials

should not be exposed to either extremely hot or extremely cold temperatures. Local

anesthetics, for example, should never be allowed to freeze while being shipped or

stored. Freezing can weaken the seal of the rubber plunger in the carpule, allowing the

introduction of air into the solution, which enhances the degradation of the anesthetic

before its expiration date. Therefore, if your clinic is located in a cold climate, adequate

supplies of local anesthetic should be purchased before the onset of freezing

temperatures. Such considerations will ensure ample inventory of anesthetic throughout

the winter months. Note that if this ordering cannot be done without risking expiration of

the anesthetic, then a local vendor should be used for that material.

If the clinic is located in a region with other clinics, one might consider developing

a cooperative purchasing agreement. Coordinated purchasing and the ability to buy

large quantities in bulk may make it possible to obtain better prices. Volunteer dental

clinics have discovered that having the clinic administrator or dental director attend state

or regional dental meetings to meet with manufacturers and suppliers is one way to

secure discounted prices and/or donations. Always let vendors know if your

organization is a volunteer or nonprofit organization.

Information Systems in Dentistry by Masic (2017) In the era of paper (which is

still present), patient information is stored in their medical records. Results of laboratory

analysis, recording with radiological devices,Philippines
South Cotabato, findings and opinions of dentists,

anamnestic data, recorded in the material (hard copy) and inserted into folders.

Distribution of these data is very poor and problematic. They must be manually

transferred to any place where needed, they often lose, their value is little, if any, and

many of them simply–because of the nature of such a system–must re-enter or obtain

again.

Therefore, the electronic dental record is an important part of medical information

system in health facilities that include a dental office.

Presented solution for the electronic dental record is part of a medical information

system intended for use in primary care and as such meets the needs of both dental

clinics and smaller dental offices. When making this module, particular attention was

paid to the appearance of the user interface so that it now accurately reflects the look of

standard, printed dental records with the aim that the clinic staff as much as possible

facilitates the process of transition from the use of classical records to the use of

electronic ones.

Electronic record introduces new functionality to the document on paper where it

was not possible (detailed historical overview of the teeth, simplified invoicing of

services, data protection from unauthorized access, etc.). The quality of solution is

provided using the latest technologies such as ADO.NET Entity Framework to access

the database and the Windows Presentation Foundation to implement certain parts of

the user interface. An additional advantage provides already tested database server

Microsoft SQL Server 2005.

Ten of the Top Dental Inventory Management Software Programs Reviewed by

Downs (2021). It’s best to pay attention to regional options when purchasing inventory

software for your dental office. Some of these software products are not available in all

countries, and it can be difficult to get on-site support depending on where you are

located. Make sure to call or email the company to get all your questions answered

before committing to an inventory control system. Talk to as many software companies

as necessary to find the one that is right for you. Once you are set up, you will notice

savings of time and money. A good software company will check in with you periodically

to see how the system is working for you, so look for a platform that provides excellent

customer service and support. You don’t want to find yourself without help when you

need it most. Check out each of those dental inventory software packages and start

getting your dental office organized and more efficient today. Managing inventory at a

dental office can mean the difference between blowing the budget and staying on

budget. Waste, expired products, lack of product, or delayed product can all stall the

progress of a busy dental clinic. Every dental office needs an inventory control system,

and some offices are still upgrading their old paper systems for new electronic inventory

systems.

Basic inventory management byCotabato,
South DonigerPhilippines
(2021).We have a lot of items in our

dental offices, and the list of supplies can be overwhelming. The question is: who is in

charge of keeping the inventory under control? As a team member, you would like all

the pieces in place when you start the day.

Who is the point person for ordering in your office? Who should order which

supplies? There should not be any blame game going on. You never want to be caught

in the middle with team members, with one thinking the other is responsible for

inventory control and supply purchase.

The easiest way is to have an accounting of necessary supplies so the practice

never runs short. You remember old Murphy and his law? A missed item never comes

at an opportune time. There is no phrase more catastrophic than, “We ran out of A2

composite.” Well, unless you need another shade and that one is missing too.

The dental office usually works on a teamwork model. As there is a place for

everything and everything has its place, there is a role for everyone and those roles

may be interchangeable or reliant on others for support. Inventory control involves

communication between all team members; it’s not merely one assistant’s responsibility.

Does your office have a protocol for inventory control? Is there a standard to

order? Do you have a preferred vendor list? These items are frequently told to

employees via word of mouth. Sometimes, new employees are randomly informed of

their duties and rely on the “telephone game” — Susie told Jane, Jane told Margaret,

Margaret told the new person. On rare occasions, the new person may not be informed

by anyone and be expected to miraculously deduce what is needed and where it is

ordered from. As we all know, this leads
South to major
Cotabato, disaster. There are also the major
Philippines

team members — the dentist, dental hygienist, and dental assistant. All of them know

what they’re doing and what they need, but where is it codified?

Dental office manuals, which set forth policies and procedures, should have a

section for inventory control. Discuss delegation responsibilities as well as protocol for

ordering. Setting up an ordering system is one way to help the office run smoother, and

ensures excellent communication between all team members. All items should be

assessed once a year, catalogued, and included in this very important system manual.

Dental products change. Your clinician’s preference may go from sticking with the

product used for 30 years, or changing with new technology each year. Regardless, it is

imperative that a master list be created. This way, if a new team member is hired, he or

she may check with the product catalogue and be aware of the need for each item.

Another reason for inventory assessment is to check for expired products. We

are not in charge of dental suppliers’ stockrooms. As we assume, they will send us the

freshest product available, we may have a short time usage for particular products. It is

also useful to assess and evaluate if the clinician is using certain restoratives. Offices

are only so large. It’s best to clean out supplies not used in a timely manner.

Establishing a routine of inventory control allows it to be reviewed periodically

during the month. This should definitely be part of a job description. Although everyone

should be knowledgeable about the products they routinely use, a point person should

do the actual supply ordering. It goes without saying that the dentist should be kept in

the loop about all products ordered. An inventory control template (Table 1) is an

testing is performed to expose defects in the interfaces and in the interactions

between integrated components of the system.

Deployment/Maintenance

At this stage, where all the designing and coding is done to the system,

maintenance will cover up all those problems, that are being discovered while testing

the system. The plan rarely turns out perfect when it meets reality. Further, as

conditions in the real-world change, we need to update and advance the software to

match.
