Whether you’re researching project management software for the first time or looking to upgrade, there’s much to learn when it comes to choosing the right platform and plan for you. ClickUp is a popular project management platform known for its extensive features, flexibility and ease of use. In this article, we’ll break down ClickUp’s pricing and subscription plans, explain what each plan offers and how ClickUp stacks up to other platforms.

ClickUp’s free version offers a surprising amount of capabilities, making it sufficient for some small business owners, freelancers or solo workers. While many project management systems limit the number of users allowed on their free account, ClickUp’s Free plan does not. Still, the paid versions offer many capabilities that may be essential to your project management, such as unlimited storage.

The Free version is also limited when it comes to project flow and organization. The Free version allows you to create up to five spaces, which is how you’d create separate project flows on the platform. Each space functions as a separate page where you can create a project management flow and share these spaces with the relevant team members. For example, you could create a space for marketing, design, sales, finance and growth. If you’re planning to use ClickUp to manage projects for a larger company, you will likely want the ability for more than five spaces.

The Free plan is limited to 100 uses of custom fields, which means that you’re able to create and delete custom fields a total of 100 times. The paid plans come with unlimited uses. This is helpful to keep in mind as if you’re planning wider-scale or complex projects with many custom fields, you’ll likely run out of uses and need to upgrade. Other features, like Gantt charts, portfolios and goals, are limited to 100 uses on the Free plan and are unlimited on the paid plans.

One of the more helpful features of the paid programs is the software integration, which can allow you to link files directly from Dropbox and Google Drive. The Unlimited plan also comes with the ability to grant users guest access, so you can share projects with someone outside of your organization. There is also an unlimited read-only option, so you can share the project page with a freelancer or contractor, for example.

The Unlimited plan may be best suited for small business owners who are looking to upgrade to more storage from the Free plan, but many of ClickUp’s features only become available on the Business plan. For example, the Business plan includes increased security, such as requiring two-factor authentication for the entire Workspace, a higher number of automations, unlimited activity views (compared to seven days with the Unlimited plan), and unlimited uses of the timeline view and workload view (compared to 100 uses each for the Unlimited plan).

There are a few distinctions between the Business plan and Enterprise plan that may be essential features for some businesses. While the Business plan enables single sign-on (SSO) for Google only, the Enterprise plan does not limit SSO to Google. Additionally, the Enterprise plan also offers Health Insurance Portability and Accountability Act (HIPAA) compliance, for companies that require this for security.

In terms of price, there is a wide range of options available for each plan and platform. All four of the project management platforms listed above offer a free plan, but ClickUp, Trello and Asana come with significantly more features for their free version. monday.com supports up to two team members on their free plan and Asana can host up to 15. Trello and Asana provide the option to host unlimited users. If you are planning on using a project management platform for a larger team, you will likely find the paid features for any of these plans helpful and may eventually need to upgrade.

All four companies have a mobile app and offer unlimited users for their paid plans. The main difference comes down to price, features and flexibility, as each project management platform is designed in a slightly different way and one may be more suitable to the type of projects you are managing.

On an annual basis, Trello’s Standard plan offers the lowest prices for a paid plan, at $5 USD ($6.82 CAD) per month per user. On a monthly basis, Trello’s standard plan is the most affordable, at $6 USD ($8.18 CAD) per month per user, compared to $10 USD ($13.64 CAD) per month per user for ClickUp’s Unlimited plan. The paid plans of monday.com start at $11 CAD per user per month, billed annually, with a minimum of three users for membership. Asana’s start at $10.99 USD ($14.99 CAD) per month per user, billed annually, more than double the cost of ClickUp’s and Trello’s paid subscription offerings.
